About The Position

The Fleet Manager is responsible for the overall performance, compliance, and financial stewardship of a large, multi-state fleet of 1,000+ vehicles. This role owns the company’s fleet programs and serves as the primary internal leader for vehicle compliance, maintenance, and lifecycle management, leveraging Holman as the Fleet Management Company (FMC) for execution. The position directly manages the Fleet Coordinator and provides governance, strategy, and accountability over Holman and other fleet vendors, ensuring fleet operations support field operations, regulatory compliance, and capital planning objectives across all locations.

Requirements

  • 7+ years of fleet, transportation, or asset management experience
  • Experience managing large fleets (800+ vehicles; 1,000+ preferred)
  • Strong knowledge of: DOT regulations and compliance; Multi-state vehicle licensing and registration; Maintenance and inspection programs; Driver qualification and recordkeeping
  • Experience managing vendors and service providers
  • Experience with fleet budgeting and capital planning

Nice To Haves

  • Experience working with a Fleet Management Company (Holman, ARI, Element, Wheels, etc.)
  • Experience supporting field-based or construction/service fleets
  • Familiarity with telematics, maintenance platforms, and fleet reporting tools

Responsibilities

  • Serve as the company’s primary owner of our FMC
  • Set expectations, workflows, SLAs, and escalation paths with FMC
  • Review performance across licensing, maintenance, vehicle orders, and reporting
  • Validate FMC outputs to ensure accuracy, compliance, and timeliness
  • Lead continuous improvement initiatives to eliminate delays, errors, and cost leakage
  • Own compliance for all vehicle and motor carrier requirements including: DOT numbers, MCS-150, UCR, and operating status; State motor carrier permits (e.g., CA MCP and equivalents); Vehicle titling, registration, renewals, and state-specific fees and taxes
  • Ensure vehicles are properly authorized to operate in all states where the company conducts business
  • Maintain audit-ready records and coordinate regulatory audits or inquiries
  • Oversee preventive maintenance programs through Holman and maintenance vendors
  • Monitor preventive maintenance compliance, service intervals, and downtime
  • Review maintenance trends, high-cost vehicles, and warranty recovery
  • Ensure DOT inspection and maintenance recordkeeping is compliant and complete
  • Own vehicle lifecycle strategy from order through disposal
  • Set replacement cycles based on mileage, age, condition, and total cost of ownership
  • Approve vehicle specifications and ensure standardization where appropriate
  • Oversee remarketing and disposal to maximize resale value
  • Lead annual and multi-year fleet CapEx planning
  • Build replacement models, depreciation curves, and total cost of ownership analysis
  • Forecast future vehicle demand based on growth, attrition, and replacement cycle
  • Track fleet capital spends, operating cost trends, and resale proceeds
  • Partner with HR and Safety on DOT-regulated driver hiring and compliance
  • Oversee Driver Qualification Files (DQFs), MVRs, medical cards, and compliance tracking
  • Ensure driver records meet DOT retention and audit requirements
  • Support onboarding and offboarding of drivers assigned to fleet vehicles
  • Provide leadership with clear reporting on: Fleet size, utilization, and availability; Compliance status; Maintenance and operating costs; Capital spends and replacement outlook
  • Identify risks, cost drivers, and opportunities for improvement
