About The Position

The role is responsible for working with various levels of management to ensure all fleet, programs and processes are executed as intended. The Fleet Manager is responsible for planning, directing, managing, coordinating, and supervising the programs for acquisition, assignment, utilization, maintenance, repair, replacement, and disposal of fleet vehicles. Fleet manager also serves as the primary contact concerning the 300+ fleet vehicles. The role will require occasional interaction with Senior Leadership to provide progress updates and present new initiatives as they arise.

Requirements

  • Bachelor's Degree (four-year college or technical school): Preferred
  • 5-10 years of experience in related field
  • Valid driver's license
  • Ability to solve problems and handle multiple tasks in a fast-paced deadline-oriented environment.
  • Strong analytical and leadership skills
  • Ability to read, utilize and create reports as needed.
  • Computer and database skills; Microsoft Office suite, specifically MS Project
  • Ability to work well with others in a team setting to deliver high performance results including facilitating meetings and providing training

Responsibilities

  • Responsible for managing and maintaining the 300+ fleet assigned & unassigned vehicles and their locations.
  • Develop, revise, and implement fleet management policies and procedures.
  • Create and implement new processes, procedures, and reporting to verify fleet is maintained according to company safety standards.
  • Develops and initiates department policies, bulletins, and information for all drivers.
  • Work with senior leadership to develop and control the Fleet Department’s annual expenses and capital budgets.
  • Analyze data to identify opportunities to reduce costs and improve efficiency.
  • Interacts with Senior Leaders and works with region/field personnel to provide direction for improved metrics based on trends and performance observations.
  • Oversee a fleet replacement plan to ensure that vehicles are replaced as needed.
  • Maintain accurate records of all fleet-related expenses and ensure that expenses are within budget.
  • Provide regular reports to senior management on fleet performance and issues.
  • Leads conference calls and meetings as needed to communicate performance issues with all program vendors.
  • Accounting: Responsible for verifying, processing, adjusting, and approving all fleet bills, leases, tolls, transport & gas card invoices. (monthly)
  • Enterprise: Monitor and maintain platform, run reports, audit employee data, assign trucks to new employees
  • New Drivers: Assign, coordinate Process New Hire Employees into all the platforms, notify Payroll Dept of driver status, send gas card Pin#, Welcome letters, insurance cards, Driver Policy, MVR, Geotab Assignment, assign safety training courses.
  • Samba Safety: Monitor & maintain compliance programs and records- MVR & Training platform.
  • Maintain Driver Qualification files (monthly updates), Track and Audit Drivers Logs MVR (year-round monitoring) and Safety training. Assign safety courses accordingly.
  • WEX Gas Cards: Monitor & maintain platform, run reports, audit employee data, re-issue cards & assign gas cards & pin numbers to new drivers.
  • GEOTAB/GBS: Monitor & maintain GEOTAB/ GPS units & platform.
  • Create Geofencing boundaries within the Nation Wide assigned Prime Source regions.
  • Confers with field managers concerning such problems as accident rates and abuse of Fleet Vehicle and recommends measures to improve safety performance.
  • Creates region/field action plans to address performance gaps and hold responsible parties accountable to the action plan through regular touch-bases.
  • Maintenance: Oversee the preventive maintenance to ensure that all vehicles are maintained in good working order and meet safety and regulatory standards.
  • Analyzing data on maintenance costs, and repair histories, as well as staying up to date on industry trends and technology advancements that could impact the lifespan of the fleet assets.
  • Oversee, approve the repair and maintenance of fleet, including coordinating with vendor.
  • Complaints: Investigates complaints about incidents involving company trucks, questions witnesses and drivers to determine causes of complaint.
  • Personal Milage Report: Analyze report for all driver’s midyear and annually for IRS Fringe Benefit Deductions.
  • AMEX/ to Wells Fargo-Transition, Oversee, Monitor, & Report the new Credit Card Platform.
  • Attendance/Punctuality Is consistently at work and on time; Ensures work responsibilities are covered when absent; Arrives at meeting and appointments on time.
