About The Position

Providing administrative support for the operations of our vehicle repair shop. This position is critical to ensuring an efficient workflow by managing work orders, tracking vehicle repairs, and serving as the primary point of contact for shop-related needs. By minimizing distractions to technicians and maintaining accurate records, the Vehicle Shop Administrator contributes to the overall success and productivity of the shop.

Requirements

  • Previous experience in an administrative or customer-facing role within a vehicle repair shop is preferred.
  • Basic knowledge of vehicle and equipment repair is an asset.
  • Strong organizational and communication skills with exceptional attention to detail.
  • Proficiency in fleet management software and Microsoft Office Suite.
  • Ability to work collaboratively with multiple departments and vendors.
  • Must possess a valid driver's license with a clean driving record.

Responsibilities

  • Work Orders and Documentation: Write and manage detailed work orders for all vehicles and equipment entering the shop. Ensure repair notes and parts information are thorough, accurate, and up to date. Track and monitor vehicle repair costs, status reports, and downtime using fleet management software.
  • Customer and Team Support: Serve as the first line of communication for repair needs, assisting staff, vendors, and other stakeholders entering the shop. Act as the customer-facing representative, ensuring technicians remain focused on tasks without interruptions. Gather information on repair needs and assign tasks to the appropriate technician.
  • Inventory and Purchasing: Assist with maintaining parts inventory and participate in quarterly inventory audits. Coordinate with the purchasing department to ensure necessary parts and supplies are ordered promptly. Monitor parts orders and follow up with vendors and suppliers as needed.
  • Operational Support: Track vehicle locations and assignments within the fleet. Transport vehicles to outside vendors for repairs when necessary. Assist with managing shop equipment, supply needs, and facility organization. Provide hands-on assistance in the shop when needed.
