About The Position

The Community Service Board of Middle Georgia is seeking a proactive and detail-oriented Fleet Coordinator! This role is responsible for overseeing the day-to-day operations of the agency’s fleet and equipment inventory across a 16-county service area. This role ensures the safe, efficient, and cost-effective use of agency vehicles while maintaining accurate records, managing vendor relationships, and optimizing the distribution, maintenance, and surplus of agency property. The selected candidate will also serve as the point of contact for internal stakeholders, vendors, and law enforcement regarding fleet and inventory matters and plays a key role in risk mitigation, compliance, and operational performance. This position requires strong organizational, analytical, and leadership skills to ensure all fleet and inventory systems align with agency needs and state/federal regulations. This position is based in Dublin, Georgia.

Requirements

  • High School Diploma/GED Equivalent
  • 2-5 years of experience managing fleet and asset operations in a multi-site organization
  • Proven experience collaborating across all levels of the organization, including frontline staff and leadership
  • Valid Georgia Driver’s License
  • Effective verbal and written communication skills
  • Strong interpersonal skills and the ability to work effectively with diverse communities
  • Ability to work independently and in collaboration with others
  • Experience with Microsoft 365 Office Products
  • Ability to organize, prioritize and meet deadlines accordingly

  • Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field

Responsibilities

  • Responsible for oversight of purchasing, receiving, storing, tracking and distribution of equipment and furniture inventory throughout the agency
  • Maintain inventory listing in appropriate software including cost, date of purchase, location, etc. and the creation of reports listing the equipment/furniture on hand for use.
  • Implement measures to optimize inventory control including protecting equipment/furniture from damage within reason.
  • Build and maintain strong relationships with suppliers, negotiate pricing as needed, and resolve issues related to supply, delivery and/or product quality.
  • Ensures detailed records on equipment for audit review
  • Perform physical inventory annually
  • Oversees surplus of equipment/furniture processing
  • Coordinates moving equipment between locations
  • Responsible for the safe, efficient and cost-effective operation of the agency’s vehicle fleet
  • Selecting, purchasing or leasing vehicles that meet the agency’s needs in collaboration with the finance department.
  • Managing the surplus disposal of older vehicles.
  • Scheduling and overseeing preventive maintenance, repairs and ensuring vehicles are safe to operate.
  • Overseeing cleanliness of vehicles and ensuring proper cleaning is scheduled.
  • Managing driver training as an instructor and ensuring drivers are following safety regulations and agency policies
  • Collaboration with program managers for route optimization based on data analysis of information to identify areas for improvement in fuel efficiency, driver behavior and overall fleet performance
  • Monitor fuel consumption and implement strategies to reduce costs and oversee management of fuel cards
  • Ensure the fleet adheres to all relevant transportation laws and regulations including updated vehicle maintenance records
  • Identify and mitigate potential risks associated with fleet operations, such as accidents or vehicle theft
  • Oversee accident investigations including making recommendations for progressive discipline, if needed
  • Point of contact for local and state law enforcement communications regarding vehicle incidents
  • Maintain clear communication with drivers, department leaders, and external stakeholders in regard to vehicle safety and maintenance
  • Manage inventory fleet of vehicles for sixteen county service area:
  • Maintains listing of Cost, Date of Purchase, Location and applicable information
  • Review and classify vehicle expenses including repairs and maintenance, gas purchases and other needs
  • Prepares and submits annual vehicle report
  • Oversees vehicle maintenance
  • Analyze vehicle/transportation needs and make recommendations to management
  • Manages purchase and surplus process of all vehicles
  • Coordinates insurance claims on vehicles
  • Manages all billing related to vehicles
  • All other duties as assigned
