Our rich diversity of people and ideas makes us a stronger, more innovative organization. Henkels & McCoy is seeking a Fleet Coordinator to support operations at its Kittanning, PA satellite office. This role is responsible for managing the daily coordination and compliance of fleet vehicles and construction equipment supporting regional projects. The Fleet Coordinator ensures all assets are properly maintained, compliant with regulatory requirements, and efficiently mobilized to meet project demands. This position works closely with field teams, project managers, and corporate support functions to keep operations running smoothly.

Requirements

  • 2–5 years of experience in fleet coordination, equipment management, or construction operations
  • Strong organizational and time-management skills with attention to detail
  • Knowledge of vehicle and equipment compliance requirements (registrations, insurance, inspections)
  • Experience coordinating maintenance and working with third-party vendors
  • Proficiency in Microsoft Office and fleet or asset management systems
  • Strong communication and problem-solving skills

Nice To Haves

  • Experience in the utility or construction industry
  • Familiarity with DOT regulations and equipment transport logistics
  • Basic mechanical knowledge of construction equipment

Responsibilities

  • Maintain accurate and up-to-date records for all vehicle and equipment registrations, inspections, and insurance policies
  • Monitor expiration dates and ensure timely renewals in compliance with company standards and regulatory requirements
  • Organize and manage fleet documentation in company systems and files
  • Coordinate preventative maintenance schedules for fleet vehicles and construction equipment
  • Respond to repair needs and work with internal maintenance teams and external vendors to minimize downtime
  • Track service history, repair costs, and maintenance intervals for all assigned assets
  • Coordinate the mobilization, transportation, and demobilization of equipment to and from job sites across the region
  • Partner with project managers and field supervisors to align equipment delivery schedules with project timelines
  • Ensure proper permits, routing, and documentation are secured for equipment transport
  • Track and manage incoming equipment requests from field operations
  • Allocate equipment based on availability, project priority, and operational needs
  • Maintain visibility into fleet utilization and availability at the Kittanning yard and surrounding areas
  • Track equipment usage and assist in preparing billing for internal cost allocation or external invoicing
  • Monitor and report on costs related to maintenance, repairs, fuel, and transportation
  • Support cost control efforts and provide data for budgeting and forecasting
  • Serve as a point of contact for local vendors, repair facilities, and transport providers
  • Collaborate with corporate fleet, safety, and accounting teams to ensure alignment with company policies
  • Maintain strong communication with field personnel, superintendents, and project teams
