As the Fleet and Equipment Manager, you will play a central role in managing our vehicle fleet and all rental equipment operations. This is a joint role where you will manage the company’s fleet of vehicles while also serving as the single point of accountability for all rental equipment across the organization—including equipment sourced from vendors such as United Rentals, Sunbelt Rentals, and similar providers. Fleet Management: Oversee the acquisition/sale of vehicles and equipment, ensuring cost-effectiveness and efficiency. Manage maintenance schedules, targeting lowest total cost of ownership. Manage all insurance claims and maintain vehicle insurance policy. Develop and manage budgets for fleet operations. Monitor expenses related to acquisition, maintenance, and regulatory compliance. Monitor driver behavior and habits using GPS and telematics data, including speeding, idling, harsh braking, and route adherence, address issues with drivers and report trends to leadership. Ensure adherence to DOT regulations and other relevant standards. Prepare and submit reports to regulatory agencies. Stay informed about changes in regulations and adjust practices accordingly. Rental Equipment: Serve as the primary point of contact and responsible party for all rental equipment including overall spend, equipment utilization, requests and call-offs, coordinating with project teams and rental vendor management (United Rentals, Sunbelt Rentals, etc.). Perform rent-vs.-buy ROI analyses to determine the most cost-effective approach for equipment needs across all projects. Monitor rental equipment utilization across all job sites; identify underutilized equipment and coordinate timely return to vendors to minimize unnecessary rental spend. Negotiate and manage rental rates, contracts, and terms with equipment vendors to secure the best pricing and service levels for the company. Forecast future rental equipment needs and associated spend based on project pipeline, historical usage data, and seasonal demand patterns. Track and reconcile rental invoices against purchase orders and actual usage; resolve billing discrepancies with vendors. Maintain a centralized tracking system for all rental equipment, including location, assignment, rental period, and cost. Provide regular reporting to leadership on rental equipment spend, utilization rates, and cost-saving opportunities.
