About The Position

The Fleet Administrator plays a critical role in ensuring the smooth operation, compliance, and efficiency of the company’s fleet. This position is responsible for managing registrations, onboarding new vehicles, coordinating maintenance, overseeing fuel card usage, and supporting driver compliance and safety initiatives. The ideal candidate is detail-oriented, organized, and proactive in identifying and resolving fleet-related issues.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 2+ years of experience in fleet administration, logistics, or operations support.
  • Strong organizational and communication skills.
  • Proficiency in fleet management software and Microsoft Office Suite.

Nice To Haves

  • Familiarity with Samsara or similar telematics systems is a plus.

Responsibilities

  • Ensure timely and accurate registration of all fleet vehicles.
  • Maintain compliance with state and federal regulations.
  • Manage renewals and documentation to prevent penalties or downtime.
  • Coordinate acquisition, setup, and deployment of new vehicles.
  • Oversee installation of required equipment (e.g., Samsara cameras, GPS).
  • Ensure vehicles meet company standards and are road ready.
  • Implement preventive maintenance schedules.
  • Track service history and managing vendor relationships.
  • Minimize operational disruptions and control maintenance costs.
  • Issue and monitor fuel cards for authorized use.
  • Maintain active and terminated driver audits.
  • Track fuel consumption and identifying anomalies or misuse.
  • Support cost control and reporting for budgeting purposes.
  • Maintain accurate records of driver-to-vehicle assignments.
  • Facilitate smooth transitions during driver role or vehicle changes.
  • Ensure accountability and support HR and safety compliance.
  • Manage installation, calibration, and maintenance of Samsara cameras.
  • Monitor footage and alerts for safety and incident review.
  • Support driver coaching and risk mitigation initiatives.
  • Coordinate initial approval through insurance provider.
  • Monitor and review continuous MVR updates.
  • Submit new MVRs for insurability review.
  • Audit Verisk active drivers and ensure driver policy kits are distributed.
  • Add or remove vehicles from insurance coverage.
  • Ensure all vehicles have proper insurance documentation.
