About The Position

Under the general supervision of the Department Chair, serves as the administrative, fiscal and personnel analyst for the Theatre Arts Department. Work independently to provide technical and operational support to its faculty, staff, and students including the maintenance of online academic courses, scheduling and registration records. Analyze and reconciles budgets and expenditures for all performance and technical areas within the department, including all producing entities and California Repertory Company. Responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. Provides assistance with the department website and social media.

  • Their expertise includes advanced knowledge of PeopleSoft (or equivalent systems), online scheduling and storage tools such as Google Calendar and Dropbox, and internet-based communication platforms like Skype.
  • They demonstrate excellent organizational skills, including stress and time management, and are proficient in PC applications such as Word, intermediate to advanced Excel, email, and campus CMS systems for both financial and student operations.
  • Outstanding written and verbal communication skills enable them to interact effectively with campus stakeholders and the surrounding community.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
  • Equivalent to a bachelor's degree in a related field and two years of related experience required.

Responsibilities

  • Fiscal Operations - Prepare and oversee preparations of various purchasing and payables forms for all department state-side and foundation funds. Ensure that documents are complete and accurate, so that expenses are submitted expediently and efficiently.
  • Personnel Processing - Prepare, submit and track a variety of personnel and payroll documents for faculty, staff and student employees, included but not limited to recruitments, separations, timekeeping, salary vouchers, and salary adjustments
  • Curriculum Management - Independently produce short-term and long-range planning for curriculum. Analyze current curriculum, enrollment numbers and road maps to help provide insight and suggestions for long term planning of curriculum.
  • Office Operations - Serve as the department contact for current university policies and procedures. Orient all new faculty and staff members in departmental procedures for purchasing supplies, equipment, payroll submissions and other information as requested.
  • Special Reports - Prepare and submit special reports, NAST, URTA, Higher Education Arts Data Service (HEADS) reports and any other materials needed or designated by chair.
