About The Position

The Department of Psychology within the College of Arts and Sciences at The Ohio State University is seeking a Financial Operations Senior Coordinator. This role serves as a primary point of contact for faculty, staff, and students regarding university, travel, expenditure, college, and department policies and procedures. The coordinator advises on procurement and travel methods, manages travel and meeting arrangements, and initiates and tracks various financial requests and expenditures in compliance with university policies. The position involves resolving complex issues related to travel and procurement, providing financial reports, and implementing payroll accounting adjustment controls. Additionally, the coordinator maintains fiscal policy documents, tracks fiscal year activity, assists with recruitment and event planning, manages procurement card transactions, and provides backup support to other administrative staff. The role requires conveying sensitive information and may involve supervising undergraduate student assistants.

Requirements

  • High School diploma
  • Two years of relevant experience
  • Ability to complete work independently with general instruction
  • Proficiency with Microsoft Office applications, including spreadsheet, database, word processing, and presentation software

Nice To Haves

  • Four to six years of experience in an administrative office setting
  • Advanced knowledge of Workday and Office of Sponsored Programs policies and procedures

Responsibilities

  • Serve as one of the primary points of contact for faculty, staff, and students on university, travel, expenditure, college, and department policies and procedures
  • Advise on appropriate procurement and travel methods
  • Help manage travel and meeting arrangements for department faculty, researchers, students, and visitors
  • Initiate and track spend authorization requests, expense reports, and expenditures in compliance with university policy and purchasing guidelines
  • Anticipate, recognize, and resolve unusual and complex issues with travel and procurement transactions, including interaction with suppliers and/or central offices
  • Provide procurement, fiscal, travel, and fund balance reports for faculty
  • Implement payroll accounting adjustment controls in coordination with the grant manager and administrative staff
  • Initiate payroll accounting adjustments as needed
  • Maintain and update all department fiscal policy and procedure documents
  • Track fiscal year activity and maintain related tracking mechanisms
  • Assist with faculty and graduate student recruitment
  • Assist with event planning and coordination
  • Assist with other special projects as needed
  • Track and log procurement card (p-card) transactions in conjunction with the duties of the p-card manager
  • Serve as a backup for entering journals to perform FDM reallocations and/or corrections
  • Provide backup support to other department administrative staff
  • Work productively as a team member to support academic, research, program, and center activities, as well as overall department business functions
  • Convey sensitive information to faculty, staff, and students
  • Supervise and mentor undergraduate student assistants as needed
  • Perform related and/or additional job duties as assigned by the direct supervisor
