About The Position

The Financial and Project Specialist supports Information Technology Services (ITS) and Denison University by coordinating software and service contracts, tracking capital and operating budgets, and providing project coordination for PMO initiatives and division-wide operational improvement efforts. Maintains accurate contract records, tracks fulfillment and renewal timelines, monitors budget activity, and prepares financial, operational, and project-related reports to support ITS leadership and the PMO. Develops, documents, and maintains processes that promote compliance, cost awareness, and efficient execution of ITS operations and PMO initiatives.

Requirements

  • Bachelor’s degree and a minimum of four years of experience in procurement, financial coordination, or office administration, or an equivalent combination of education, experience, and training.

Nice To Haves

  • Advanced Google Sheets skills (formulas and pivot tables), proficiency with Google Workspace, and experience using Workday or similar enterprise financial systems.

Responsibilities

  • Contract and Financial Administration (30%) Support ITS contract activity by coordinating software and service agreement transactions, renewals, and documentation in alignment with institutional policies and established processes. Partner with internal stakeholders, vendors, and procurement to ensure contracts are properly executed, maintained, and tracked. Maintain accurate records to support financial planning, audits, and reporting needs while promoting consistency and compliance across ITS.
  • Budget Tracking and Financial Reporting (20%) Track ITS operational and capital budget activity and support the annual budget request process, including ongoing updates and revisions. Prepare and distribute financial and operational reports reflecting current spending, anticipated costs, and projected budget needs to support divisional planning and leadership decision-making. Support the identification, documentation, and tracking of ITS and cross-divisional spending to promote visibility, transparency, and fiscal accountability.
  • Project Coordination and PMO Support (20%) Provide project coordination for PMO initiatives and division-wide operational activities, supporting structured efforts related to performance development, workload efficiency planning, and process improvement. Assist with tracking timelines, deliverables, dependencies, and required inputs; maintain project documentation; and support reporting needs for operational initiatives managed through or aligned with the PMO. Focus is on coordination, organization, and execution support .
  • Cost and Process Optimization (20%) Identify areas of non-usage and assist in evaluating reductions in license counts and vendor support. Support license reclamation efforts by tracking and documenting existing licenses, including performing license true-ups to ensure compliance and optimize software expenses. Proactively seek and recommend improvements to procurement, contract tracking, financial support, and project coordination processes to increase service levels, reduce administrative burden, improve data consistency, and reduce costs. Assist with identifying emerging software needs and opportunities for consolidation in coordination with ITS stakeholders.
  • Cross-Functional Financial and Contract Collaboration (10%) Collaborate with budgets, purchasing, institutional research, and other campus partners to support enterprise fiscal and contract management tools, secure reporting data for site and consortium licensing, and assist with cost negotiation and issue resolution.
