About The Position

The Finance and Payroll Associate is a key member of the Finance team, providing essential operational and administrative support across core financial functions. This role plays a critical part in ensuring the accuracy, timeliness, and integrity of payroll processing, while also supporting banking, cash management, and general departmental coordination. Working collaboratively across the organization, the Finance and Payroll Associate interacts with staff, leadership, business partners, and community stakeholders, contributing to a responsive, well-organized, and mission-aligned Finance function.

Requirements

  • Associate’s degree with at least 3 years of experience in an administrative or clerical role, or High School Diploma with at least 5 years of relevant experience.
  • Experience with ADP or a similar payroll system required.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and Adobe Acrobat; ability to learn additional systems and tools as needed.
  • Strong verbal and written communication skills, with the ability to engage effectively with individuals at all levels of the organization.
  • Exceptional attention to detail, organizational ability, and follow-through skills.
  • Ability to access and utilize ADP app on smartphone or other device for access to agency programs
  • Must have ability to reach, walk, sit, climb stairs, bend, lift up to 25lbs, and able to travel as needed.
  • Valid Driver’s License required for travel.

Nice To Haves

  • Prior experience in a bookkeeping or finance office environment strongly preferred.

Responsibilities

  • Manage bank deposits (remote and physical), including tracking, reconciling, and recording daily cash receipts in Great Plains to ensure accuracy and timeliness.
  • Provide administrative and logistical support for departmental meetings, committees, and events, including scheduling, preparing materials, and coordinating communications.
  • Support the preparation of monthly financial reporting packages through compilation and organization of required materials.
  • Assist with the coordination of the annual fiscal and pension audit processes, including documentation gathering and auditor support.
  • Provide cross-functional administrative coverage as needed (e.g., reception, billing or other support functions) and contribute to departmental efficiency and responsiveness.
  • Support the organization’s strategic priorities by upholding core values and performing other duties as assigned by Finance Leadership
  • Enter and maintain time and attendance records, including tracking PTO and following up on missing or incomplete time entries.
  • Serve as a critical backup for payroll processing, with the expectation of independently running payroll on a periodic basis.
  • Prepare payroll-related analyses and reports as assigned, supporting accuracy and transparency in payroll operations.
  • Partner closely with Human Resources to support payroll-related aspects of the employee lifecycle, including new hires, status changes, and benefits updates.
  • Help ensure payroll processes are executed accurately, confidentially, and in compliance with organizational policies and applicable regulations
  • Supports overall strategic plan of the organization.
