Requirements

  • High school diploma or equivalent required
  • 2–4 years of experience in administrative support, service coordination, project coordination, or operations
  • Strong proficiency in Microsoft Excel, Outlook, Word, and PowerPoint
  • Exceptional organizational and time-management skills
  • Strong written, verbal, and interpersonal communication skills
  • High attention to detail in compliance-driven environments
  • Ability to manage multiple priorities in a fast-paced project environment
  • Strong problem-solving skills
  • Ability to work effectively with Service Project Managers, field technicians, Accounting, and customers
  • Ability to take ownership of tasks and deliver accurate, professional work with minimal supervision
  • Authorization to work in the United States without current or future employer sponsorship

Responsibilities

  • Support Service Project Managers in planning, maintaining, and updating schedules for nuclear and assigned service projects
  • Maintain accurate project calendars, manpower plans, and technician assignments
  • Prepare and maintain customer-required documentation including technician resumes, unescorted access forms, badging paperwork, and site-specific compliance documentation
  • Ensure documentation and training records meet internal, customer, and nuclear site requirements
  • Maintain compliance-driven documentation accuracy in structured, audit-ready formats
  • Coordinate travel for field service technicians including flights, hotels, rental cars, site access requirements, and schedule adjustments
  • Coordinate equipment rentals, special shipments, and service-related logistics
  • Serve as administrative liaison between Service Project Managers and field teams
  • Collect, review, and validate technician timesheets, expense reports, advances, and purchase orders
  • Compile and submit invoicing support documentation
  • Coordinate with Accounting to resolve discrepancies prior to invoice submission
  • Track project expenses and cost data to support accurate billing
  • Prepare and distribute service documentation, work orders, and customer paperwork
  • Maintain project tracking tools and support reporting
  • Provide cross-functional support across the Service Department
