About The Position

USA Environmental, Inc. (USAE) is looking for a Field Office Administrator (FOA) for its Navy Contract at the former Camp Garcia in Vieques, Puerto Rico. This person will interact with employees on the project site regarding payroll, human resource, or administrative issues, and effectively coordinate with USAE corporate personnel in Florida for timely resolution; manage the scheduling of annual OSHA physicals and personnel travel; prepare weekly site Per Diem ledgers; develop and maintain a functional administrative filing system; coordinate FedEx and other vendor pickups and deliveries; compile and review personnel’s weekly time cards for accuracy and submission to the corporate office; translate corporate documents and employees’ verbal and written communications from English to Spanish or Spanish to English as appropriate, and verbally translate in employee meetings and training sessions as needed; prepare appropriate paperwork and maintain logs on dates used and expiration of FMLA, SINOT, Medial Leave, Workers Compensation, and 90-Day Leaves; coordinate with outside agencies for billing purposes; answer telephones and perform all other required clerical functions. The FOA will report to the Site Manager at the field office.

Requirements

  • Minimum of 2 years of administrative experience
  • Proficient in Microsoft Office to include Word, Excel and Outlook
  • High school diploma or equivalent is required
  • Able to communicate effectively in both English and Spanish and work with all levels of personnel
  • Able to multi-task and remain calm under pressure
  • Able to sit for long periods of time and lift/carry up to 25 pounds
  • Required to pass a drug test and appropriate background checks
