About The Position

At PNNL, our core capabilities are divided among major departments that we refer to as Directorates within the Lab, focused on a specific area of scientific research or other function, with its own leadership team and dedicated budget. Our Science & Technology directorates include National Security, Earth and Biological Sciences, Physical and Computational Sciences, and Energy and Environment. In addition, we have an Environmental Molecular Sciences Laboratory, a Department of Energy, Office of Science user facility housed on the PNNL campus. The National Security Directorate (NSD) drives science-based, mission-focused solutions to take on complex, real-world threats to our nation and the world. The PNNL Field Intelligence Element (FIE) is an intelligence component of the Department of Energy (DOE) Office of Intelligence and Counterintelligence Field Intelligence Enterprise. The FIE Operations Division, part of the National Security Directorate, is comprised of a cohesive team of leaders stewarding the capabilities and resources of the FIE in support of Pacific Northwest National Laboratory, DOE, and other sponsors. The FIE is compliant, strategically proactive, and customer service oriented and offers efficient services and resources to support the FIE mission. Protecting U.S. residents and visitors is among our nation’s highest priorities. As adversaries gain access to sophisticated technologies and materials, the threats grow more dynamic and complex—from cyber and nuclear to chemical and biological weapons of mass effect and other forms of terrorism. The PNNL national security mission employs our researchers, tools, and technologies to play a key role in advancing the ability to identify and secure nuclear materials, detect weapons of mass effect, manage nonproliferation treaties, secure our nation's borders, and protect critical infrastructures. Coupled with decades of radiological and nuclear materials expertise, advanced computing and threat analysis capabilities, and a broad fundamental science base, we are identifying and countering emerging threats that have significant impact at home and around the globe. We are seeking a driven and energetic Group Lead Administrator to support the national security mission in the Field Intelligence Element (FIE) Operations Division. The FIE Operations Division contains 2 groups: FIE Security & FIE IT. This position will be expected to support the 2 group leaders and the staff in the 2 groups. The position will support a full range of business and administrative issues by providing responsible, responsive, and confidential assistance to group members. The administrator is expected to act with mature judgment in analyzing communications flow and situational events, while taking appropriate actions and/or judging the referral or transmission of information to other team members, as required. The range of daily contacts includes staff at all levels in NSD, throughout PNNL, as well as other national laboratories and internationally. Administrative support includes calendaring, coordination of meetings and agendas, preparation of documents, purchasing supplies, travel arrangements, tracking actions, preparation of expense reports, maintaining SharePoint website, and editing a variety of products and correspondence. The administrator may also perform as a task lead for organizing and tracking of industry activities such as events, assessments, or performance assurance.

Requirements

  • High school diploma/GED and 6 years of relevant experience in an administrative environment -OR- AA degree or higher and 4 years of relevant experience in an administrative environment
  • Experience in planning meetings and coordinating travel
  • U.S. Citizenship
  • Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified matter in accordance with 10 CFR 710, Appendix B.
  • All Security Clearance positions are Testing Designated Positions, which means that the applicant selected for hire is subject to pre-employment drug testing, and post-employment random drug testing.
  • Applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).

Responsibilities

  • Efficiently manage, prioritize, and execute multiple tasks simultaneously to maintain workflow efficiency.
  • Act as a backup for other administrative staff within the division.
  • Undertake additional responsibilities as assigned.
  • Provide support for purchasing through the P-Card system, B2B transactions, and the purchase requisition system.
  • Organize domestic travel and prepare expense reports.
  • Handle standard forms, including awards, purchase requisitions, and expense reimbursements.
  • Manage the two Group Leaders’ calendar, emails, and travel arrangements.
  • Handle sensitive and confidential information with utmost discretion.
  • Work with classified information, ensuring compliance with all relevant protocols.
  • Collaborate with team members to share information and support group activities.
  • Create word processing documents, spreadsheets, and presentations.
  • Identify and recommend improvements for administrative processes and procedures.
