About The Position

The Lead Administrator at Sleep Better Austin Treatment supports the day-to-day operations of our behind-the-scenes administrative team. Under the direction of the Admin Manager, this position plays a key role in supporting team performance, ensuring schedule optimization, auditing workflows, and contributing to ongoing training and development. This role is ideal for a proactive, detail-oriented individual who thrives in a collaborative, non-patient-facing environment and is passionate about team success and operational excellence.

Requirements

  • Minimum of 2 years' experience in a healthcare administrative or operations support role, with prior leadership or training responsibilities preferred; experience in dental or sleep medicine is a plus but not required.
  • Strong attention to detail, organization, and time management skills.
  • Excellent communication and interpersonal skills, especially in virtual or phone-based environments.
  • EMR proficiency and comfort using digital tools and platforms for scheduling, audits, and training.
  • A positive, team-oriented attitude with a drive for excellence and accountability.
  • This role may require occasional travel, as determined by business needs.

Nice To Haves

  • experience in dental or sleep medicine is a plus but not required.

Responsibilities

  • Serve as the LMA (Lead, Manage, and hold Accountable) for the administrative team in alignment with direction from the Admin Manager.
  • Coordinate scheduling, time-off requests, and general admin coverage.
  • Assist in hiring, onboarding, and coaching new admin team members.
  • Lead department meetings and serve as a point of contact for day-to-day support and guidance.
  • Act as a liaison for escalated patient issues received via phone or email, ensuring timely and professional resolutions (behind-the-scenes).
  • Provide back-up coverage for all admin roles when needed to ensure seamless operations.
  • Regularly audit schedules to ensure alignment with capacity goals and appointment type distribution.
  • Monitor and audit Referral Coordinator and Scheduling Coordinators via EMR and phone recordings to ensure accuracy, professionalism, and adherence to process.
  • Work with the Admin Manager to implement improvements based on audit findings.
  • Create and delegate WorkRamp training content for ongoing development of the admin team.
  • Identify training needs and provide recommendations to the Admin Manager for continued staff growth.
  • Assist in tracking and reporting admin team performance metrics including: % of consults scheduled Delivery and annual appointments completed Overall schedule fill rate
  • Support the Admin Manager in holding team members accountable to their individual and collective goals.
  • Complete projects and initiatives as assigned by the Admin Manager or leadership team.
