About The Position

Job Summary: This position is responsible for the daily maintenance of the SmartPayroll System and all required daily tasks. The role will require weekly interaction with the Client Transition department for on-boarding SmartPayroll Clients, as well as servicing ongoing clients. This position requires attention to detail, accuracy and problem solving ability.  This position requires the ability to maintain high levels of confidentiality and the ability to work as part of a team.  Excellent communication skills and a full understanding of the importance of customer service is a must.

Requirements

  • College degree preferred or minimum of 2 years of Retirement and/or Benefits Experience
  • Ability to work in a team environment as well as independently
  • Detailed Oriented
  • Excellent verbal and written communication skills

  • Provide a high level of service to Team and Clients
  • Strong Excel

Responsibilities

  • Facilitate onboarding process for SmartPayroll Clients includes:
  • Setup of SmartPayroll and any ancillary systems.
  • Development of the payroll file with the client and payroll provider
  • Mapping provisions to payroll file fields
  • Mapping of payroll file fields to system fields
  • Testing the file as submitted by the client and/or payroll provider
  • Testing the file with the provider for certification
  • Training of the client / payroll provider on the file submission
  • Attending Client Transition led calls as requested
  • Daily support of SmartPayroll systems includes:
  • Client support in the form of emails and phone calls with clients and/or payroll providers – immediate response time expected
  • Monitor SmartPayroll and help clients.
  • Trouble shoot file errors and corrections
  • Resolve Pentegra internal kick-out emails when a file will not process
  • Updating SmartPayroll and ancillary systems for change requests from the client
  • Coordinate Client and Payroll providers in the event client hires a new company
  • Calendar updates
  • Changing payroll frequencies
  • Updating contact information including adding / removing access for plan contacts
  • Password resets
  • Requires interaction with the 3(16) Team
  • Prior Years of Service requirements
  • Dual Eligibility report
  • Ensures 3(16) SmartPayroll procedures are followed.
