We are seeking a highly organized, detail-oriented individual to serve as our Faith Formation Office Coordinator, supporting programs from kindergarten through 12th grade. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple moving pieces, and enjoys creating structure and clarity in a busy office setting. Position Overview The Faith Formation Office Coordinator works closely with the Director of Faith Formation to manage the day-to-day operations of the Faith Formation Office. This role is central to keeping programs organized, supporting families and catechists, and ensuring all administrative and sacramental processes run smoothly. They also serve as a co-coordinator of the parish’s volunteer Safe Environment training and compliance, supporting efforts to ensure all volunteers remain current with diocesan requirements. Requirements

  • Highly organized with strong attention to detail and follow-through
  • Ability to manage multiple priorities, deadlines, and moving parts
  • Strong administrative, communication, and problem-solving skills
  • Bilingual (Spanish & English) required
  • Proficiency in Microsoft Office (Word, Excel) and digital recordkeeping
  • Self-starter who can work independently while supporting a team
  • Welcoming, service-oriented approach when working with families

Responsibilities

  • Coordinate and organize all Faith Formation classes and sessions (English & Spanish)
  • Maintain accurate student records, registration materials, and sacramental documentation
  • Manage calendars, schedules, and program logistics (registrations, events, retreats, sacrament Masses)
  • Serve as a primary point of contact for families (phone, email, and in-person)
  • Communicate clearly and consistently with parents, catechists, and parish staff
  • Work with the Safe Environment co-coordinator to ensure all volunteers are certified and current in required training
  • Assist with tracking volunteer compliance and maintaining accurate certification records
  • Support volunteers with training needs, including troubleshooting issues and coordinating alternative options as needed
  • Track tuition, donations, and assist with weekly deposits
  • Support Infant Baptism preparation and sacramental recordkeeping
  • Translate documents and assist with bilingual communication as needed
  • Provide coordination and support for events, including evenings or weekends as required
