About The Position

The Fair Communications & Coordination Assistant (FCCA) is a part-time (8 hours a week average), temporary Cooperative Extension support position responsible for coordinating communication, volunteer engagement, and scheduling for Merrimack County 4-H programs, with particular emphasis on operations related to the Hopkinton State Fair. This position plays a critical role in maintaining program continuity during a period of reduced professional staffing and supports the safe, organized, and inclusive delivery of volunteer-led educational programming. The FCCA serves as a central point of coordination and communication among Extension staff, volunteer leadership, Fair officials, and community partners. The position is based at the UNH Cooperative Extension Merrimack County office in Boscawen, NH. Occasional evening and weekend work is required, particularly during Fair preparation and Fair week.

Requirements

  • High school diploma or equivalent.
  • At least one (1) year of experience in communications, volunteer coordination, administrative support, or event coordination.
  • Valid New Hampshire driver’s license.
  • Strong written and verbal communication skills.
  • Demonstrated ability to coordinate schedules, manage multiple deadlines, and maintain accurate records.
  • Proficiency with email, spreadsheets, and online registration tools.
  • Ability to work in a fast-paced, seasonal environment with shifting workload demands.
  • Availability to work occasional nights and weekends.
  • Willingness to travel for work; mileage reimbursed at the current federal rate.

  • Experience with 4-H, Cooperative Extension, fairs, or volunteer-based youth or community programs.

Responsibilities

  • Coordinate and maintain online volunteer registration systems for Fair-related roles.
  • Develop, update, and manage schedules for volunteers, judges, and superintendents for Fair and county-wide events.
  • Draft and distribute Fair-related communications, including newsletters, emails, schedules, reminders, and instructions.
  • Serve as a primary communication liaison between UNH Cooperative Extension, Fair officials, volunteers, and community partners.
  • Maintain and update Fair-related webpages, handbooks, packets, and other digital materials.
  • Prepare lists and schedules for printing, mailings, and on-site distribution.
  • Track volunteer assignments, judge categories, and participation information.
  • Provide on-site coordination support during the Hopkinton State Fair, including volunteer check-in and schedule adjustments.
  • Support communication of real-time schedule changes and operational updates during Fair week.
  • Assist with post-Fair follow-up activities, including drafting thank-you communications and compiling participation lists.
  • Develop and implement a professional development plan focused on communication, coordination, and office systems, as supported by the supervisor.
