About The Position

The Facility Services Coordinator at Meydenbauer Center provides procurement, operational, staff and administrative support for workgroups within the Facility Department including Maintenance and Engineering, Custodial, Technical Services.

Requirements

  • High school diploma or general education degree (GED)
  • Two years of public assembly, hospitality or commercial building facility administration support
  • Minimum of three years computer experience with MS Office suite
  • Highly organized and highly focused to independently and accurately track the lifecycle of multiple and concurrent projects across multiple departments.
  • Ability to build and consistently maintain organizational systems and documentation standards.
  • Attention to detail in reviewing and proofreading documents for accuracy and adherence to established policies.
  • Skillful time management. The ability to support simultaneous priorities while remaining flexible and responsive to urgent needs. Leverage opportunities for system and process improvement to enhance efficiency.
  • Excellent verbal and written communications. Consistently listen well and communicate kindly, concisely and effectively. Apply and use data to support reporting functions.
  • Advanced skills in common business software applications: Microsoft word: proficient with reports, templates, forms, branded signage. Microsoft Excel: Common formatting of sheets, sorting and arrangement of data, number formatting, common formulas, creation of simple charts and graphs. Microsoft Outlook – setup and management of calendars, recurring appointments, distribution lists. Mail sorting and rules.

Responsibilities

  • Supports staff with established competitive bidding processes including Invitations to Bid, Requests for Proposals and Requests for Qualifications.
  • Supports staff with the lifecycle for contracts and agreements including public work, professional service, and goods and services in accordance with established policies.
  • Routes and tracks bidding and contract documents in compliance with established purchasing policies.
  • Communicates with vendors to provide and request agreements and associated documents.
  • Creates and maintains checklists, records and electronic files relating to procurement of goods and services. Maintains master contract listings.
  • Research and solicit quotations for goods and services as assigned.
  • Works collaboratively with Finance to support the tracking of payments and invoices
  • Works collaboratively with Marketing to post vendor opportunities to web and published sources.
  • Work with Finance and department managers to track and report on annual capital projects.
  • Assist with tracking and communication of maintenance and repair requests, notifications to staff on facility related closures and impacts.
  • Assists with organization and maintenance of written and electronic facility records, plans, O&M manuals.
  • Participate in Safety Committee and provide support and coordination of Safety Committee operations and initiatives.
  • Contribute to and support special projects and reports
  • Assist in departmental staff training initiatives, committees and programs.
