About The Position

The Facility Manager is responsible for overseeing the day-to-day operations of the Triphahn Center (TC), including front desk services, facility scheduling, rentals, and fitness center operations. This role ensures efficient facility operations while maintaining high standards of customer service, safety, and compliance with Park District policies. The Facility Manager also regularly works the front desk and is expected to perform daily customer-facing duties as a front desk registrar while also supervising and supporting front desk operations. The position is accountable for hiring, training, supervising, and evaluating front desk staff to ensure proficiency in program registration and membership sales using the RecTrac system. The position works collaboratively with building maintenance staff by communicating facility needs, coordinating schedules, and identifying maintenance issues. This exempt position typically works Sundays from 10:00 AM to 6:30 PM and Monday through Thursday from 1:30 PM to 10:00 PM (close) during the prime winter season. During non-prime seasons, the weekday schedule shifts to 12:30 PM to 9:00 PM (close). During event weeks (normally one per month), the schedule adjusts to Friday through Tuesday, with weekend hours determined by the event schedule. Work hours may vary based on facility programming, front desk coverage, building hours, seasonal demands, and special events, including full weekend shifts during event weekends.

Requirements

  • Bachelor’s Degree in Parks and Recreation, Leisure Studies, Business Administration, or a related field preferred plus three (3) to five (5) years of full time experience in community recreation, government service, or a customer service focused environment.
  • Experience should include facility management, general office functions, staff supervision, customer service, Rectrac software preferred and employee training.
  • Demonstrates consistent attendance and punctuality
  • Valid Illinois driver’s license required
  • Ability to read, write, and speak English
  • CPR/AED certification required or ability to obtain within 60 days of hire
  • Ability to hire, organize, train, direct, and supervise staff performing office and guest service functions
  • Ability to interact with the public and staff in a courteous, respectful, and professional manner
  • Proficient in word processing and general office software
  • Excellent oral and written communication skills
  • Ability to work independently, solve problems, and complete tasks in a timely manner
  • Effective working knowledge of the principles, practices, and objectives of community recreation
  • Ability to sit, stand, walk, bend, twist, climb stairs, talk, and hear
  • Use hands and fingers to handle, feel, or operate office equipment and controls
  • Occasional walking on uneven surfaces
  • Hand eye coordination required for use of computers and office equipment
  • Vision abilities include close vision and the ability to adjust focus
  • Ability to occasionally lift and/or move up to 50 pounds

Responsibilities

  • Hire, train, schedule, supervise, and evaluate front desk staff, including the Full Time Registrar and Part Time Guest Service personnel
  • Provide secondary oversight and operational guidance related to building maintenance needs by communicating issues, repairs, and facility requirements to appropriate staff
  • Maintain and update assessment and training procedures for front desk staff
  • Administer employee assessments to evaluate knowledge of software systems and operational procedures
  • Coordinate ongoing training for front desk staff throughout the year
  • Assist in developing and implementing business operations practices, policies, and procedures
  • Research, prepare, and maintain operational and procedural manuals for TC staff
  • Assist in developing and maintaining front desk service standards established by the Park District
  • Identify, initiate, and respond to staff training needs related to front desk operations
  • Ensure operational goals are met within areas of responsibility and contribute to overall departmental goals
  • Develop comprehensive knowledge of Park District programs to effectively respond to guest inquiries or direct guests to appropriate staff
  • Manage Fitness Center operations including memberships and all preventive maintenance schedules for the Fitness Center.
  • Prepare and process bi weekly payroll, budget information, and other reports as assigned
  • Oversee daily front desk cash handling procedures
  • Assist with staffing and coverage for large events and tournaments at the facility.
  • Communicate facility maintenance needs and operational concerns to appropriate personnel
  • Maintain a clean, organized, and professional work environment
  • Conduct facility and training programs as established by the Hoffman Estates Park District
  • Monitor participant and staff activity to ensure compliance with all safety rules and regulations
  • Attend meetings as required or appropriate
  • Perform all duties in compliance with Park District policies, procedures, and safety regulations
  • Demonstrate knowledge of all Park District rules, policies, and guidelines
  • Explain and enforce Park District rules, regulations, and procedures while resolving guest concerns
  • On duty manager when present after normal business hours
  • Perform other related duties as assigned.
