About The Position

The Facilities Support Specialist (FSS) plays a vital role at the center of a dynamic and exciting office environment, serving as a key point of contact for various teams and stakeholders. This multifaceted position, which reports directly to the Site Facility Manager, requires a highly organized and adaptable individual who can juggle multiple priorities, provide exceptional support, and ensure seamless day-to-day operations. As a member of the Facilities Support team, you will be responsible for providing critical support to a dynamic team of tradespeople and construction project managers who operate and maintain the campus grounds and facilities. Your role will be to ensure that their work is well-coordinated, and that the facilities are running smoothly.

Requirements

  • High school diploma or equivalent
  • Proficient in Microsoft Office 365
  • 1-3 years of experience in an administrative or facilities support role, preferably in a similar industry
  • Experience working in a fast-paced, dynamic environment with multiple priorities and deadlines
  • Ability to work independently and as part of a team

  • Experience with facilities management, procurement, and project management software and systems

Responsibilities

  • Provide administrative support to various teams, including procurement, project management, and facilities management
  • Manage and maintain records, files, and databases to ensure accuracy and compliance
  • Coordinate with internal stakeholders, including employees, management, and external partners
  • Assist with site events, meetings, and communications to ensure smooth operations
  • Perform various administrative tasks, such as processing expense reports, managing calendars, and ordering supplies
  • Collaborate with teams to ensure compliance with regulatory requirements and company policies
  • Develop and maintain relationships with vendors, contractors, and other external partners
  • Provide exceptional customer service to employees and visitors
  • Assist with dispatching tradespeople and answering phone calls
