About The Position

Under the general supervision of the Facilities Manager, Assistant Director of Facilities, and the Director of Facilities, the Facilities Supervisor is responsible for providing support and leadership in, but not exclusive to, the following areas: Supervising line associates (to include mentoring and discipline), Assisting in the critical analysis of all Facilities operations, Procurement of necessary tools for our team to do the tasks-at-hand, Scheduling within the constraints of a labor budget, Ensuring the productivity of the team by managing their own time and the teams' time efficiently, Filling in on other shifts and in other areas on property as needed, to include overtime, in support of our 24/7/365 operation. DISTINGUISHING CHARACTERISTICS OF WORK AND ESSENTIAL ATTRIBUTES A highly functional Facilities Supervisor is an organized self-starter with ability to learn quickly, work autonomously, takes initiative, and is skillful at prioritizing and juggling multiple demands simultaneously. They are expected to have a keen understanding of all the roles within the Facilities Department, and thorough knowledge of the properties and equipment used within Kemper Development. A successful Facilities Supervisor will have a positive and polished presence with a strong work ethic. They are a resourceful, motivated, team player with strong interpersonal and written communication skills. They will exercise a keen attention to detail, and sense of urgency toward completing tasks in a timely manner. A high performing Facilities Supervisor will use sound judgement, remain calm in stressful situations, and make ethical decisions with the best interest of our colleagues, residents, guests, and tenants in mind. An effective Facilities Supervisor will excel at collaborating inter-departmentally, with 3rd party partners, and with the array of business partners with which we engage. The ideal Facilities Supervisor will passionately promote departmental and company objectives, act to improve upon themselves, the department, and The Collection every day.

Requirements

  • Proficient in the English language and communicating concepts, ideas, and instruction effectively.
  • Superb organizational and computer skills, to include the Microsoft Products (Outlook, OneDrive, Word, Excel, Teams, and PowerPoint), Adobe, and savvy navigating the internet.
  • Ability to learn company software platforms, to include but not limited to Building Engines, ADP, MRI.
  • Sound mathematical and accounting skills in support of staffing, purchasing and budgetary decisions.
  • Perform basic research and prepare reports and recommendations based upon this research.
  • Schedule, coordinate, and sometimes facilitate meetings and trainings for fellow Facilities associates.
  • Lead by organizing own work, coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimal direction and supervision.
  • Improve operational efficiencies within the Facilities Department and interdepartmentally.
  • Communicate all policy and procedural changes and promote consistency in all Facilities processes/procedures.
  • Exercise emotional intelligence in interpersonal interactions, exhibiting sensitivity, tact, and professionalism.
  • Perform other related duties as assigned by the Director of Facilities and/or the Assistant Director of Facilities.
  • Education: High School diploma or GED- some college preferred with focus in business management.
  • Experience: 2-4 years of experience in an administrative support role, with payroll, AR/AP, procurement, and related office routines.
  • 2-4 years of operational experience in a mixed use (retail/residential/office) facility.
  • Successful candidates will be required to complete all necessary pre-employment background screening.

Responsibilities

  • Providing administrative support in the areas of research, report preparation, budget analysis, and staff communications, etc.
  • Ensure each property's signage, presentation, and communication is branded to KDC specifications.
  • Partner with the Facilities leadership team in carrying out special projects as needed.
  • Represent the Facilities Department in regular company meetings (i.e., Safety Committee)
  • Issue uniforms and equipment as needed.
  • Order uniforms and equipment as needed.
  • Order supplies and equipment as needed, yet within budget constraints.
  • Contract services in consultation with Facilities leadership team.
  • Reconcile spending, budget, and invoices.
  • Update training documents, documentation, and manage certifications of all associates. Ensure compliance related to Best Practices under OSHA/WISHA safety practices.
  • Maintain all departmental calendars (vacation, rotating services/cleanings, etc.).
  • Assist Property Management and Facilities Managers in scheduling, communicating, reviewing contracted services.
  • Ensure our partner vendors are meeting performance expectations and invoicing accurately. Assist Facilities Management in regular reviews of opportunity areas.
  • Monitor ADP. Ensure actual hours and labor allocations are aligned. Edit timecards/punches. Make necessary adjustments and re-allocations to ensure equitable CAM charges.
  • Approve payroll at end of each pay period.
  • Foster positive relations across a culturally, generationally, nonbinary, and diverse intersection of colleagues, residents, guests, and tenants.
