About The Position

The Facilities Specialist supports the Facilities Director and broader facilities team by managing procurement, financial processes and administrative functions related to maintenance and capital projects. This role ensures accuracy, compliance and timeliness across purchasing, invoicing and budget tracking activities contributing to the efficient operation of facilities across the business unit. Salary Range: $57 - $63k per year based on experience

Requirements

  • Technical Proficiency: Advanced skills in Microsoft Office Suite, particularly Excel for data tracking, reporting and analysis.
  • SaaS Platform Literacy: Experience working within cloud-based systems; ability to quickly learn new platforms, troubleshoot basic issues and support user adoption.
  • Communication Skills: Strong verbal and written communication skills with the ability to interact effectively across all organizational levels.
  • Organizational Ability: Exceptional attention to detail with a demonstrated ability to manage multiple priorities in a deadline-driven environment.
  • Self-Management: Highly motivated self-starter with the ability to work independently while contributing to a collaborative team environment.

Responsibilities

  • Procurement & Financial Operations Create, review and track Purchase Orders (POs) from vendor quotes, ensuring accuracy in GL coding, budget alignment and proper approvals.
  • Manage the full invoicing lifecycle, including distribution, verification against contracts, purchase requests and timely payment processing.
  • Serve as the primary point of contact for vendors, including onboarding new suppliers, maintaining accounts, reviewing vendor statements and resolving discrepancies or payment issues.
  • Partner with Maintenance Managers and Project Managers to complete procurement activities and support project close-out process.
  • Submit final invoice documentation to the Asset Team for project completion.
  • Retrieve DPIS documentation and collaborate with the Asset Team to close AFEs and capital projects.
  • Reporting & Financial Analysis Research and resolve past-due payments and assist with quarterly accrual processes.
  • Generate and analyze asset and budget reports for capital projects.
  • Support capital project financial workflows, including AFE invoice review and budget tracking.
  • Contribute to cost management initiatives by identifying efficiencies and supporting cost saving efforts within the Facilities Maintenance department.
  • Prepare, review, and distribute vendor statements.
  • Cross Departmental Collaboration Act as a key liaison between Facilities, Finance and other internal departments to resolve procurement and financial issues.
  • Provide administrative and operational support for special projects as assigned by the Facilities Director.
