About The Position

North Naples Church is accepting applications for the position of full-time Facilities Services Coordinator. The Facilities Services Coordinator is responsible for supporting the Facilities department in all operations related to the physical campus that contains a large church and PreK-12th grade school. This position works collaboratively as a part of a team to maintain the overall condition and appearance of the 23-acre campus. This position coordinates vendors and contractors, performs inspections, diagnoses issues, recommends solutions, assists in the coordination of large capital improvement projects, and assists in the preparation of reports and planning documents. The position also has hands-on responsibilities in implementing preventative maintenance and improvement schedules, performing routine maintenance for the facility as needed, and assisting with the set-up and break-down for special events and large services. This Facilities Services Coordinator position requires on-site physical presence. The schedule requires regularly working afternoons and weekends, with the flexibility to work some evenings, and the ability to meet vendors and contractors to handle unplanned issues that arise outside of the normal workday. This position reports directly to the Director of Facilities, coordinates with all Facilities personnel, and is responsive to the Church Administrator and Senior Pastor.

Requirements

  • Bachelor’s degree is required, preferably in a related discipline.
  • At least 3 years’ experience in a Facilities leadership role of similar size and scope is required.
  • Demonstrated strong Facilities project management knowledge and experience required.
  • Strong background and demonstrated skillset in performing routine maintenance in a commercial environment.
  • Requires regularly working afternoons and weekends, with the flexibility to work some evenings, and the ability to meet vendors and handle unplanned issues that arise outside of the normal workday.
  • Proficient in Google and Microsoft Office Suite of applications, including, Word and Excel; experience managing a work order ticketing system and utilizing a space reservation system.
  • Ability to read and understand reports, blueprints, plumbing, electrical, HVAC, and irrigation layouts.
  • Demonstrated experience in preparing budget requests and complex reports for administration and governance to understand and make necessary higher-level directives and budgetary decisions.
  • Strong communication and interpersonal skills are required to relate effectively with contractors and staff and communicate with and keep the Director of Facilities informed.
  • Proven ability to coordinate and support complex projects for renovations, small building projects, and management of the physical campus.
  • Ability to resolve daily, complex issues, understand complicated compliance requirements, standards and best practices.
  • Physically, this position requires performing activities that require movements such as lifting and carrying up to 25 lbs. frequently and up to 50 lbs. occasionally, climbing including ladders, balancing, walking, stooping, reaching, pushing, pulling, manual dexterity, and handling of tools, furniture, equipment, and materials.

Responsibilities

  • Understand and assist with management of all systems, including technical operations and current best practices related to irrigation, HVAC, plumbing, electrical and security.
  • Coordinate the repair of machinery, equipment, and electrical and mechanical systems.
  • Assist the Director to manage contractors as required for preventative maintenance and repair or replacements of systems.
  • Perform routine and preventative maintenance in multiple trades including carpentry, plumbing, electrical, lighting, HVAC, painting, and irrigation as needed in order ensure work orders are completed timely and competently.
  • Respond to issues that arise related to all campus systems and collaborate with safety and security and other staff related to all emergencies or accidents on campus for purposes of response, recovery, incident reporting and to remedy any physical problems contributing to the emergency.
  • Assist with the set-up and break-down for special events and large services.
  • Monitor grounds and condition of buildings, landscaping and hardscape for property that includes 7 buildings, 200 interior spaces, sidewalks, athletic fields, playgrounds, a prayer garden, a columbarium, natural areas, and multiple points of entry.
  • Routinely tour buildings, regularly inspect and diagnose issues, check on occupants and facilities, and recommend immediate and long-term solutions to ensure security, maintenance and proper working conditions of all areas. Record those items in a log and coordinate with the Director to prioritize repair, replacement, or improvement.
  • Develop and manage a preventative maintenance and inspection plan to provide safe, clean, and well-maintained facilities.
  • Resolve problems and maintain records, which can also aid in preventative and predictive maintenance approaches.
  • Work cooperatively with safety and security personnel in resolving facility security issues, and the day-to-day upkeep of physical spaces ensuring they remain functional and safe.
  • Assist the Director with planning, administering, and controlling budgets for contracts, equipment, and supplies.
  • Assist the Director with preparation and review of operational reports and schedules to ensure accuracy and efficiency.
  • Assist the Director in aspects related to all projects including those in the campus reserve study, maintain documentation related to projects and prepare reports related to progress and recommendations.
  • Understand capital and maintenance budgeting, collaborate with Director to prepare requests for proposals, seek qualified vendors and contractors, provide review of proposals, qualifications and scopes of work to proficiently select vendors and contractors to perform work and implement projects.
  • Assist the Director to determine effective cost-saving strategies without sacrificing the quality of materials or work and ensure budgetary constraints are followed.
  • Coordinate with the Director to oversee construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, and security standards, and comply with government regulations.
  • Participate in strategic planning to optimize space utilization, storage solutions and future use of space for the campus.
  • Assist with ensuring that facilities compliance programs are followed including fire systems and inspections, elevator inspections, kitchen equipment inspections and maintenance, waste management and recycling, and coordinate with safety and security staff for AED, lockdown and lightning alert systems as needed.
  • Conduct annual accessibility audit and develop recommendations for improvements as necessary.
  • Ensure projects are properly permitted and in compliance with local, state and other regulatory guidelines, requirements and best practices.
