About The Position

The Role: The Facilities Coordinator supports daily operations of the site by managing vendors, maintaining a safe and efficient workplace, and serving as a primary on‑site point of contact for employees, partners, and service providers. This role ensures the facility runs smoothly through proactive site management, strong communication, and hands‑on support for events, safety, and space organization. The Responsibilities: Vendor & Project Management Coordinate vendor scheduling, site access, and day‑to‑day escorting. Serve as the consistent on‑site contact for all vendor activity. Verify completion of work, report discrepancies to the Facilities Manager, and support close‑out documentation. Manage preventative maintenance schedules and support implementation. Maintain on‑site security protocols, including badging and visitor oversight. Collaborate with internal partners on cost needs and invoice processing. Site Operations & Workplace Support Conduct daily site walks, document findings, and relay maintenance needs to the Facilities Manager. Participate in monthly janitorial walkthroughs and provide quality feedback. Manage service tickets—accept, address, and route requests efficiently. Support event preparation and ensure events are executed safely. Act as liaison between Security, Janitorial, Dock, Engineering, SPS, and other building partners. Occasionally manage facilities needs outside of normal work hours. Primary Point of Contact Serve as the main on‑site POC for Security, Building Management, Dock Operations, Engineering, and after‑hours needs. Provide clear communication and strong customer service to employees and partners. Safety & Culture Act as a Safety Advocate—model safe behavior, reinforce policies, and educate staff. Promote a “One Team” culture and set an example for professionalism and collaboration. Support site cleanliness, including light janitorial tasks as needed.

Requirements

  • 2 years of experience in facilities, workplace operations, property management, or a related field.
  • Experience coordinating vendors, contractors, and building partners.
  • Familiarity with work order systems (e.g., SNOW or similar ticketing platforms). And tech at large.
  • Knowledge of basic building operations, safety protocols, and emergency procedures.
  • Ability to perform daily site walkthroughs and identify maintenance needs.
  • Experience supporting events, office moves, or workplace accommodations.
  • Comfortable working onsite in a fast‑paced, service‑oriented environment.
  • Ability to lift/move items as needed for events or light facilities tasks (typically 25–40 lbs).
  • Willingness to support occasional after‑hours or emergency needs.
