About The Position

The Facilities Operations Specialist is primarily responsible for the end-to-end management of the Locker Distribution Program, serving a workforce of 2,000 to 3,000 civilians and officers. This role requires meticulous organization to assign lockers based on rank, maintain accurate data within the USCP database, and manage physical logistics across multiple site locations. The Specialist ensures compliance with inventory protocols, including Union-escorted audits, and manages the turnover process for staffing changes.

Requirements

  • Requires 2+ years of general clerical and word processing experience
  • Administrative Skills: Proficiency in Microsoft Excel for database management and Outlook for handling high-volume email requests.
  • Logistical Planning: Ability to coordinate travel between work-sites and schedule audits with third parties (Union Reps).
  • Attention to Detail: Critical for tracking thousands of assignments and ensuring no duplicate assignments occur.
  • Discretion: Ability to handle sensitive information regarding employee status (terminations, internal investigations, etc.).
  • Must be able to pass US Capitol Police background check

Responsibilities

  • Strategic Allocation: Manage the assignment of differently sized lockers to a large workforce (Civilians and Officers), ensuring assignments strictly adhere to rank-based protocols and space availability.
  • Request Processing: Monitor and respond to locker requests via email. Review and process Locker Request Forms (LRFs) for accuracy and eligibility.
  • Inventory Auditing: Conduct regular physical inventories of locker rooms to identify vacancies and ensure compliance. This includes verifying that no individual holds more than one locker assignment at a time.
  • Compliance & Escorts: Coordinate and schedule Union Representative escorts as required to conduct official locker audits and inspections.
  • Database Maintenance: Update and maintain the master locker inventory spreadsheet hosted on the USCP database. With a focus on data integrity and real-time updates of the existing file.
  • Document Archiving: Systematically save and archive every Locker Request Form (LRF) received to ensure an audit trail for all assignments.
  • Multi-Site Logistics: Manage locker operations across two primary locations: The Fairchild Building and Headquarters. Responsibility includes scheduling necessary transportation to travel between these sites.
  • Turnover Procedures: Execute immediate protocols for employee reassignments or separations (including retirements, terminations, and resignations). This includes clearing lockers and changing locker combinations to secure the units for future use.
  • Maintenance Reporting: Identify, tag, and report broken locks or damaged lockers to the appropriate maintenance teams for repair.
  • Assist in the management and tracking of general facility work orders.
