What this job involves: This position directly supports the Facility Manager or Senior Facility Manager with comprehensive facility responsibilities, focusing on operational excellence, client satisfaction, and effective vendor management. You'll play a key role in budget management, maintenance coordination, and ensuring seamless facility operations while maintaining high standards of customer service across client locations.

Requirements

  • Bachelor's degree or equivalent work experience in facilities management or property management
  • 2+ years of facilities or property management experience in corporate environment, third party service provider, or as a consultant
  • Proven record of client service with ability to establish credibility with clients, facilities teams, vendors, and contractors
  • Excellent interpersonal, communication, organizational, and management skills
  • Computer proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook)
  • After hours, on-call availability and occasional Saturday work required

Nice To Haves

  • Knowledge of commercial real estate, building operations and systems, accounting, project management, and vendor management
  • Experience with Computerized Maintenance Management System (CMMS)

Responsibilities

  • Assist with budgetary requests, analysis, reporting, and supporting facility-specific cost savings targets
  • Receive and dispatch work requests to technical staff, vendors, and service providers
  • Resolve building services issues including janitorial, food service, parking, vending, badging, and conference rooms
  • Coordinate and schedule maintenance activities while overseeing delivery of repair services
  • Interface with property occupants and provide support for guests, visitors, and employees
  • Develop monthly/quarterly variance reporting on operating budgets for each property
  • Source local services and goods through third-party suppliers, including contract writing and vendor setup
  • Manage existing contracts and coordinate with vendors on performance criteria and reviews
  • Collaborate with sourcing teams on national and regional supplier opportunities
