About The Position

The Facilities Manager performs a variety of tasks in the operation, maintenance, renovation, purchasing, and repair of the Brien Center facilities. This role is responsible for the supervision of housekeeping and maintenance staff, and for coordinating and overseeing capital projects. The manager ensures compliance with licensing, building, and insurance regulations, and acts as a liaison with landlords, outside contractors, and vendors. They also serve as an internal consultant to site managers on facility issues. Key responsibilities include planning, directing, and coordinating activities related to the operation, maintenance, and construction of facilities, equipment, buildings, and grounds. This involves the design and development of building facilities and the formulation of operating policies and procedures to maintain compliance with leases, building codes, and clinic licenses. The Facilities Manager will hire, train, and provide technical guidance to maintenance, custodial, and mail courier staff, and manage facility security protocols, alarm systems, and vendor contacts. A significant part of the role is developing a 3-year strategic plan for facility and equipment upgrades, coordinating all capital projects, and participating in lease negotiations and renewals. The manager will work with landlords on maintenance responsibilities, manage vendor maintenance contracts, and oversee local and state building permitting, licensing, and inspections, including MAAB activities for code compliance. Financial duties include planning, monitoring, and adhering to building department budgets. The role also involves inspecting facilities, reviewing inspection reports for necessary repairs, and developing a maintenance help desk. Additionally, the Facilities Manager supports agency principles, represents the agency professionally, provides 24/7 emergency and on-call coverage, fosters a supportive environment, builds relationships with inspectors, and flexibly responds to maintenance needs to minimize program impact.

Requirements

  • Valid Class D drivers license and use of personal vehicle
  • Technical experience in facility management and project management
  • Supervisory, computer, writing and interpersonal skills
  • Experience with contractors and all aspects of the bidding process and building codes
  • Knowledge of techniques and materials used in maintenance and repair of facilities
  • Knowledge of safe operation of vehicles and other equipment
  • Knowledge of Mass building codes
  • Knowledge of occupational hazards and safety procedures
  • Knowledge of inventory control
  • Knowledge of general ADA standards
  • Contract Supervisor’s license or eligibility for and active pursuit of license required
  • Excellent written and verbal communication skills
  • Strong leadership and ability to delegate effectively
  • Ability to work independently
  • Working knowledge of computers and MS office applications
  • Excellent problem solving and analytical skills
  • Knowledge of community resources

  • Support and maintain the principles and policies of the agency
  • Represent the agency in a professional manner in all community contacts
  • Provide 24/7 emergency coverage and provide with Facilities supervisor on-call coverage
  • Maintain and communicate a sense of support and respect for all staff and clients
  • Develop a strong working relationship with local & state inspectors
  • Flexibly respond to program scheduled and non scheduled maintenance requirements while minimizing impact on programs
