About The Position

The Facilities Coordinator plays a vital role in supporting the Facilities team by managing service requests from restaurants through the CMMS platform, EcoTrak. This role ensures timely resolution of maintenance issues, accurate vendor onboarding, and smooth coordination between restaurant operations, vendors, landlords, and internal stakeholders. The Facilities Coordinator also assists with reporting, budgeting, inventory management, and project tracking to maintain operational excellence across all Nando’s locations. This is a very important role requiring strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, ever-changing environment.

Requirements

  • 2+ years of experience in facilities coordination, operations, or administrative support (restaurant or retail industry preferred).
  • Strong working knowledge of CMMS platforms (EcoTrak experience highly preferred).
  • Strong communication and organizational skills.
  • Ability to thrive in fast-paced, constantly changing environments.
  • Knowledge of restaurant operations functions and how they support restaurant operations.
  • Confidence to challenge others constructively to drive progress.
  • Excellent interpersonal skills and ability to work across teams.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Comfortable managing multiple priorities and meeting deadlines.

Responsibilities

  • Act as the primary owner and expert of the EcoTrak system for Nando’s.
  • Ensure all vendors have signed terms and conditions uploaded into the system in accordance with the internal policies.
  • Maintain current pricing structure for each vendor within EcoTrak and update rate cards as needed
  • Onboard new vendors, upload all required documents, and track pending invitations.
  • Monitor and follow up on: Unaccepted or declined work orders.
  • Monitor and follow up on: Vendor requests for work order NTE – Not to Exceed limits.
  • Monitor and follow up on: Invoices pending approval beyond expected timelines.(as requested)
  • Monitor and follow up on: Submissions from vendors.
  • Improve system momentum by identifying and resolving bottlenecks.
  • Liaise with EcoTrak account manager to gain full administrative capabilities and implement requested changes.
  • Act as a liaison between restaurant operations, vendors, landlords, and the Facilities team.
  • Respond to inquiries and resolve issues from internal teams and external partners.
  • Provide landlords with documentation of services performed upon request.
  • Not afraid to challenge stakeholders to get answers or move progress forward.
  • Attend per-period P&L team meetings to review site-level expenses, ensure proper coding to planned or unplanned capital, and help answer the “why” behind each cost.
  • Assist the Facilities team with gathering budget data, preparing reports, and maintaining documentation.
  • Set up and maintain a weekly-updated open project list in collaboration with the Facilities Team for distribution to Nando’s Leadership.
  • Manage the district toolkit inventory, ensuring items are replenished and correctly billed to the appropriate locations.
  • Track and manage inventory stored at off-site warehouses in coordination with Accounting and Facilities.
  • Support the setup of preventative maintenance schedules.
  • Track signed contracts and service agreements from vendors, including pricing.
  • Track work order information, completion status, and receipt of supporting documentation.
  • Assist with invoice processing, vendor onboarding, and general administrative tasks.
  • Perform follow-ups and special assignments as requested by the Facilities team.
