About The Position

The Facilities Coordinator provides essential administrative and operational support for facility management operations, serving as a key liaison between stakeholders, management, and service providers. This role is critical to ensuring smooth daily operations by coordinating maintenance activities, managing vendor relationships, and maintaining compliance with facility standards. As a Facilities Coordinator at JLL, you'll be at the center of facility operations, directly contributing to creating exceptional workplace experiences for our clients while supporting JLL's commitment to operational excellence and customer satisfaction.

Requirements

  • High school diploma or equivalent education required
  • 1-2 years of administrative or coordination experience in facilities, property management, or related field
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Detail-oriented with excellent organizational and multitasking abilities
  • Customer service experience with ability to interact professionally with various stakeholders
  • Basic understanding of facility operations and maintenance processes

Nice To Haves

  • Associate's degree in business administration, facilities management, or related field
  • Experience with computerized maintenance management systems (CMMS) or work order platforms
  • Previous experience in commercial real estate or corporate facilities environment
  • Knowledge of vendor management and procurement processes
  • Familiarity with space planning software or tools
  • Experience with budget tracking and invoice processing
  • Basic understanding of building systems and preventive maintenance concepts

Responsibilities

  • Process and coordinate work orders, maintenance requests, and service calls
  • Manage vendor relationships and coordinate service provider activities
  • Maintain facility documentation, records, and reporting systems
  • Support space planning, move coordination, and occupancy management
  • Assist with budget tracking and invoice processing
  • Respond to occupant requests and facility-related inquiries
  • Monitor supply inventories and coordinate procurement activities
