About The Position

The Talent and Facilities Coordinator II supports Talent and Facilities processes, systems, and operations. This role partners internally with all Talent and Facilities Centers of Excellence (COEs) to support both new and ongoing programs and coordinate in‑person/virtual events. The Coordinator II interacts with teammates across the business and provides on‑demand support for Talent and Facilities processes and programs.

Requirements

  • 2+ years in an administrative or customer‑support role.
  • Moderate proficiency in Microsoft Word, Excel, and Outlook.
  • Associate degree or equivalent work experience.
  • Strong communication skills.
  • Comfortable with virtual meeting platforms (WebEx, Adobe Connect, Microsoft Teams, etc.).

Nice To Haves

  • Bachelor’s degree or equivalent experience.
  • Experience coordinating events.
  • Ability to read floor plans.

Responsibilities

  • Monitor Talent and Facilities inboxes daily for work requests or general inquiries; track and report requests in a timely manner.
  • Maintain teammate records within HR & Talent systems.
  • Coordinate Talent/Facilities training sessions, HR webinars, fairs, and sponsored events.
  • Support company‑requested events and activities.
  • Coordinate all food service programs.
  • Manage mail distribution; serve as liaison between Director of Facilities and vendors for account management.
  • Support onboarding and termination processes, including desk setup/breakdown and leading Day 1 orientation.
  • Maintain general office supplies for the building and manage department SWAG inventory.
  • Complete and respond to employment verifications and unemployment claims.
  • Assist recruitment by conducting reference checks, issuing employment contracts, and scheduling pre‑hire meetings, interviews, and hiring events.
  • Support ongoing Talent Management rhythms and assist with ad‑hoc projects, including large‑scale company moves and building restacks.
  • Maintain Talent/Facilities SharePoint content, including formatting, layout updates, and pulling basic reporting.
  • Provide reporting from Talent systems (interviewing results, exit surveys, terminations, goals completion, compliance, McQuaig, etc.).
