About The Position

The Facilities Associate supports day-to-day office operations by coordinating vendors, managing service requests, and maintaining strong relationships with building management and internal stakeholders. This role assists with purchase orders and invoicing, office access control, maintenance requests, and in-office events, while monitoring Facilities tickets and supporting new hire onboarding and desk moves. The Facilities Associate works in a fast-paced environment, balancing multiple priorities with attention to detail, clear communication, and a high level of professionalism, while providing on-site support in the NYC office five days per week.

  • 2–3 years of relevant experience
  • Demonstrated interest in commercial real estate with a strong academic and professional record
  • Associate or bachelor’s degree preferred
  • Experience working with building management and MEP systems preferred
  • Experience implementing EHS programs preferred

Responsibilities

  • Manage several facilities and office service vendors.
  • Maintain relationships with vendors, building managers, building owners, and neighboring companies.
  • Create and process POs and invoices at the discretion of the Senior Office Manager.
  • Assist with the facilitation of in-office events, including monthly in-office happy hours.
  • Support ordering company swag and receive and handle its distribution.
  • Coordinate with vendors on in-office locks and support access control (e.g., security cameras and doors) for new joiners via vendor and building management.
  • Support maintenance service and office equipment requests and ensure tasks are completed in a timely fashion.
  • Monitor incoming tickets for the Facilities team via FreshService software.
  • Assist with delivering Facilities orientation to new hires.
  • Support in-office desk moves.
  • Serve as backup for reception and mailroom as needed.
