About The Position

JOB SUMMARY Serve as the on-site professional contact for rentals, group events, weddings, and Arboretum-sponsored activities. This role supports smooth event execution by acting as a staff liaison, monitoring the use and care of Arboretum property, and ensuring a positive guest experience. Work under the direction of the Sales and Operations Manager(s) and follow all Event Manual guidelines. DEPARTMENT: Sales and Special Events

Requirements

  • High school diploma or equivalent; some college desirable
  • Two+ years event coordination/hospitality highly desirable.
  • Good verbal skills and good written communication skills, ability to complete required paperwork for event execution.
  • Physical ability to walk repeatedly outside to successfully execute event, i.e. escort deliveries, oversee set up, handle emergency situations, etc.
  • Physical ability to work outdoors in the elements, i.e. high/low temperatures, rain, etc.
  • Ability to work flexible hours, nights/weekend availability preferred.
  • Ability to pass all pre-employment requirements including background check and drug testing.
  • Friday-Sunday availability required.
  • Driver’s license to drive garden vehicles.
  • Ability to manage multiple tasks through use of effective organizational and time-management skills
  • Professional work ethic and presence.
  • Courteous, committed to guest satisfaction
  • Attention to detail; good judgement skills

Responsibilities

  • Assist the Sales and Operations Manager in overseeing and/or directing the Arboretum’s staff for event set-up/tear-down (when requested), assuring that the physical arrangement is according to plan and that Arboretum’s property (tables, chairs, tablecloths, etc.) is in good and clean condition.
  • Direct caterers and outside delivery/set-up personnel for appropriate set-up and usage of Arboretum facilities.
  • Provide direction for security/parking staff as needed to ensure appropriate access to property and safe vehicular access to the gardens.
  • Enforce Arboretum rules and regulations throughout each event; assure appropriate care of furniture/property by attentive observation during event.  Take appropriate action as needed.
  • Collaborate with other departments to respond to incidents in a timely and appropriate manner. Maintain appropriate documentation, such as first aid action, property damage, etc.
  • Complete end of event reports to include happenings needing managers attention
  • Contribute positively to team communication and overall event success
