The Expert Coordinator provides operational, administrative, and strategic coordination across a 200-person HCP Sales, Marketing, and Operations organization distributed throughout the U.S. This role delivers direct administrative support to the VP Expert while also serving the broader Expert community through budget ownership, vendor oversight, team operations, onboarding, logistics, and day-to-day issue resolution. The Coordinator serves as a critical point of connection between Expert and the broader US Commercial organization, helping ensure seamless processes, consistent communication, and operational excellence across the team. This position requires strong judgment, exceptional organizational skills, a high degree of autonomy, and the ability to influence and collaborate across multiple functions. Requirements

  • The position is based in Warren, NJ, and follows a hybrid model, requiring an in-office presence of 3 days per week.
  • Bachelor’s Degree
  • 3+ years in administrative, operational, project coordination, or similar experience.
  • Experience supporting senior leaders and/or large field-based organizations strongly preferred.

Nice To Haves

  • Consumer healthcare or CPG industry experience.
  • Experience with vendor management, budget tracking, procurement, or event logistics.
  • Prior experience working with fleet programs
  • A foundational understanding of the consumer healthcare industry is preferred, as well as familiarity with Expert roles and field operations. The ability to incorporate industry best practices and anticipate competitive trends will support organizational success.
  • This role directly affects the daily experience and effectiveness of the 200+ person US Expert organization. It also plays a key interface role with US Commercial and Global teams to ensure smooth operations, timely execution, and strong cross-functional alignment.

Responsibilities

  • Administrative & Executive Support (VP Expert)
  • Manage complex calendar scheduling and prioritization.
  • Coordinate travel arrangements, itineraries, and logistics.
  • Submit, track, and reconcile expense reports.
  • Prepare meeting materials and agendas.
  • Act as a liaison between the VP Expert and internal/external stakeholders.
  • Handle sensitive and confidential information with discretion.
  • Operations Support for 200+ Team Members
  • Serve as the primary coordination point for the field-based US Expert organization.
  • Support logistics and execution of national meetings, regional team meetings, and leadership offsites.
  • Facilitate onboarding and offboarding, including system access, equipment, and orientation support.
  • Provide troubleshooting support for expense reporting, fleet issues, operational questions, and general team needs.
  • Serve as the go‑to escalation point for team operational challenges.
  • Budget & Finance Ownership
  • Independently manage operating budgets and purchasing activities.
  • Create and track purchase orders; oversee invoice processing.
  • Monitor spending and provide regular reporting to leadership.
  • Ensure compliance with financial policies and procurement processes.
  • Vendor & Fleet Management
  • Lead relationships with key vendors, including the fleet management provider for company vehicles.
  • Oversee contract execution, issue resolution, and service-level expectations.
  • Ensure timely reporting, incident follow‑ups, and continuous improvement of vendor performance.
  • Partner with Procurement and Finance as needed to maintain alignment.
  • Manage fleet budget including invoice reconciliations.
  • Cross-Functional Collaboration & US Commercial Integration
  • Act as a connective tissue between the Expert organization and broader US Commercial teams (Sales, Marketing, Finance, HR, Operations).
  • Drive consistency, process adherence, and communication across organizations.
  • Source, collate, and distribute materials for leadership reviews, town halls, and cross-functional initiatives.
  • Maintain departmental SharePoint sites and digital resources.
  • Continuous Improvement & Special Projects
  • Identify operational inefficiencies and propose improved workflows.
  • Lead or support mid- to large-scale projects that enhance team performance and organizational structure.
  • Manage ad hoc projects and assignments from VP Expert or Expert Leadership Team.
  • Ensure alignment with Haleon’s Win as One behaviors and culture.
