About The Position

Provides essential administrative support to the teams that shape the worship, production, communications, online, and video experience at Wellspring Church. This role works in collaboration with other team members and supports the Experience Pastor in helping fulfill the responsibilities placed upon the Experience team by Wellspring Church.

Requirements

  • Able to work collaboratively with other department teams to support the ministry of Wellspring Church.
  • Must be a proactive self-starter, creative problem solver and team player.
  • Understanding of confidentiality and proper care of personal information.
  • Knowledge of computer applications such as Word and/or Pages, Excel and/or Numbers, PowerPoint and/or Keynote, etc.
  • Strong administrative, organizational, and time-management skills
  • Proficiency with email, project management tools (like Monday.com), and cloud-based systems (e.g., Google Drive)
  • Excellent written and verbal communication skills
  • Able to work independently and collaboratively
  • Flexible and calm under pressure, especially during live services or events
  • Willingness to work Sundays, evenings, or weekends as needed
  • Physical requirements: Constant periods of sitting and repetitive motions. Occasionally able to lift or move up to 20lbs and standing or walking.

Responsibilities

  • Manage scheduling, meetings, and communication for the Communications, Video, Online Ministry, and Production teams
  • Serve as the initial ambassador for the Experience team by fielding initial phone calls, walk-ins and email inquiries.
  • Maintain shared calendars, project timelines, and team task lists
  • Assist with ordering supplies, tracking expenses, and processing invoices
  • Coordinate team meetings, take notes, and follow up on action items
  • Support cross-functional planning between departments for Sundays and special events
  • Help organize volunteer communications and appreciation efforts
  • Assist with digital file organization, copyediting, and project tracking
  • Maintain internal documentation such as style guides, branding guidelines, and SOPs
  • Help coordinate deliverables for church events, both in-person and online
  • Be available on Sundays and during key events to assist the Experience team with logistics and coordination
  • Help ensure all ministry teams are supported and equipped before services begin
  • Manage receipts for purchases
  • Manage schedule for shoots and due dates
  • Needs to work closely with Executive Assistant for Senior Pastor’s schedule
  • Provide administrative assistance to the Communications Director, including scheduling meetings, managing correspondence, organizing departmental files and submitting invoices.
  • Purchasing paper, toner, and other supplies for the print shop in coordination with the Communications Lead.
  • Prepare printed materials for the Weekend Vision Casting (scripts, promo cards - that the vision caster reference)
  • Schedule vision casters in Planning Center in coordination with the Communications Director
  • Coordination with Executive Assistant, Video Director & Online Pastor for Pre & Post, HFT, Podcast & other studio shoot calendaring, coordination & communication.
  • Planning Center Church Online Volunteer coordination & scheduling.
  • Monthly credit card purchases & subscriptions
