About The Position

The Executive Support Coordinator is a hybrid, service-oriented role that provides operational and administrative support to the Executive Director and the school’s administrative team. This position supports the smooth execution of school operations by coordinating compliance tracking, documentation, logistics, and follow-through across multiple functional areas. The Coordinator works alongside other support staff to troubleshoot operational challenges, execute supports, and ensure tasks are completed accurately and on time. This is a non-supervisory role designed for a highly organized professional with strong administrative skills and a desire to grow into increased operational responsibility over time.

Requirements

  • Bachelor’s degree required
  • 2–3 years of strong administrative assistant or operations support experience
  • Demonstrated ability to manage multiple tasks, track details, and meet deadlines
  • Strong organizational and administrative skills
  • Attention to detail and accuracy
  • Collaborative, service-oriented approach to work
  • Professional judgment, discretion, and confidentiality
  • Clear written and verbal communication
  • Proficiency with spreadsheets, document management systems, and tracking tools

  • Bachelor’s Degree required; or 5+ years’ experience in School Administration Support

  • Demonstrated ability to build and maintain relationships with students, families, staff and community members.

Nice To Haves

  • Experience in a school, charter school, nonprofit, or mission-driven organization preferred
  • Ability to think outside the box and problem solve innovatively
  • Bilingual skills (English/Spanish) strongly preferred.

Responsibilities

  • Provide direct administrative and operational support to the Executive Director
  • Assist in tracking priorities, deadlines, and follow-up items for leadership and administrative initiatives
  • Prepare, organize, and maintain materials, trackers, and reports for internal use
  • Support special projects and time-sensitive tasks as assigned
  • Provide logistical and administrative support for Board of Trustees meetings
  • Assist with scheduling, preparation of materials, and meeting follow-up
  • Support board communications and outreach as directed
  • Track board action items and documentation
  • Work in coordination with administrative and support staff to troubleshoot operational issues
  • Assist in executing day-to-day operational supports across departments
  • Serve as a reliable point of coordination to ensure tasks move from request to completion
  • Communicate proactively to flag delays, gaps, or support needs
  • Support compliance tracking for multiple funding sources and reporting requirements
  • Assist with data collection, data entry, and documentation in collaboration with staff
  • Maintain dashboards and tracking tools to support timely submissions
  • Organize records to ensure documentation is complete and audit-ready
  • Assist with vendor outreach, coordination, and documentation
  • Support basic financial tracking, including: Submission and tracking of bills and invoices Following up on outstanding items Maintaining organized financial records
  • Assist with inventory tracking and coordination of large purchases and restocking
  • Provide logistical support for school events, meetings, and initiatives
  • Assist administrative staff with special projects during peak operational periods
  • Support cross-functional projects as needed
