What you’ll do: The Executive Secretary provides high-level administrative and secretarial support with significant latitude for discretion, independent judgment, and decision-making. This role independently establishes priorities, manages complex schedules, and ensures the smooth and efficient operation of the executive’s daily activities. Typically supports a Vice President or company officer.

Requirements

  • Minimum Education Required: High School Diploma, plus training acquired through work experience or related education.
  • Minimum Experience Required: 6–10 years of previous job-related administrative support experience, preferably supporting senior leadership.

Nice To Haves

  • Preferred: Administrative or technical background acquired through 2–3 years of college.
  • Preferred Degree: Business or related field.

Responsibilities

  • Provide high-level administrative support, including managing incoming calls, monitoring executive emails, coordinating calendars, and preparing materials for meetings and travel.
  • Draft and edit professional correspondence, reports, summaries, announcements, and training materials while compiling accurate data for leadership review.
  • Support executive initiatives by conducting research, gathering information, and preparing summaries, presentations, and other project-related documents.
  • Plan and coordinate department events, meetings, and leadership functions both on-site and off-site.
  • Maintain well-organized filing systems, records, and documentation for departmental activities and projects.
  • Mentor and provide guidance to junior administrative staff to support skill development and workflow efficiency.
  • Manage departmental purchasing and expense processes, including requisitions, expense reports, supply ordering, and equipment maintenance, ensuring compliance with policies.
  • Serve as a back-up resource for Nursing and Senior Leadership Administration to ensure continuity of operations.
