About The Position

This is an Executive Secretary located in Central Office

Requirements

  • Bachelor's degree in Business, Finance, and/or Accounting required.
  • Minimum of 3-5 years of experience in an administrative, secretarial, or project management role preferred.
  • Demonstrated experience with project planning, execution, and organizational management.
  • Strong knowledge of state and federal reporting deadlines in an educational or public sector environment preferred.
  • Proficiency in Microsoft Office Suite, Google Workspace, and AI-driven applications for efficiency and problem-solving.
  • Excellent written and verbal communication skills, with strong attention to detail
  • Ability to work independently and collaboratively, maintaining professional relationships with colleagues, administrators, and external stakeholders.
  • Strong leadership, organizational, and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Use strength to lift items needed to perform the functions of the job.
  • Sit, stand, and walk for required periods of time.
  • Speak and hear.
  • Use close vision, color vision, peripheral vision and depth perception along with the ability to focus vision.
  • Communicate effectively in English, using proper grammar and vocabulary.

Responsibilities

  • Provide direct support to the Business Administrator, including scheduling meetings, preparing agendas, and maintaining organized records.
  • Assist in project planning and effectively manage and execute multiple tasks simultaneously.
  • Apply project management skills to support office initiatives and ensure timely execution of tasks.
  • Monitor and maintain compliance with state and federal deadlines and ensure the timely submission of reports.
  • Develop and manage a district-wide calendar for reports, documents, and compliance submissions.
  • Take and record minutes for meetings with accuracy and detail.
  • Review and analyze business office emails, reports, and correspondence, and distribute to the appropriate staff.
  • Plan and coordinate events such as vendor meetings, bid openings, conferences, staff trainings, and business office activities.
  • Support Board of Education-related functions by preparing documents, organizing schedules, and ensuring smooth meeting logistics.
  • Carry out other duties as assigned to support the efficient operation of the business office.
