About The Position

The Assigned Counsel Plan is seeking a detail-oriented individual with excellent communication and organizational skills to serve as an Executive Assistant to the Administrator of the Assigned Counsel Plan for the First and Second Department. The Executive Assistant’s duties will span a range of responsibilities including scheduling, correspondence, meeting preparation and participation, research, and other key office functions and administrative tasks. The ideal candidate should be able to work in a fast-paced environment, effectively manage initiatives and multiple projects simultaneously, think critically, digest and interpret information quickly as well as have excellent communication and writing skills in this highly visible role. The Executive Assistant role is both challenging and exciting, providing an introduction to key indigent defense issues and stakeholders involved in the Criminal Justice system.

Requirements

  • A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Responsibilities

  • Manage an active calendar of appointments and prioritize conflicting needs.
  • Monitor telephone calls, mail, and email messages.
  • Prepare agendas, briefings, summaries, meetings for documents, and correspondence that may be confidential.
  • Provide briefings to the Administrator in preparation for internal and external meetings and activities.
  • Expeditiously handle incoming issues and proactively track priorities and follow up items.
  • Attend meetings and take notes for distribution to staff.
  • Oversee day-to-day office operations, such as ensuring the Administrator has read and signed key correspondence.
  • Provide a bridge for smooth communication between the Administrator, ACP staff, panel members, and all internal and external stakeholders.
  • Perform other duties as requested by the Administrator.
