About The Position

The Illinois Department of Corrections is looking for an energetic Executive Secretary I at its Fox Valley Adult Transition Center. The successful candidate will serve as an administrative secretary to the Center Supervisor and Assistant Center Supervisor while preparing a variety of reports. The use of a keyboard is required. Requirements

  • Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and one (1) year of secretarial experience or completion of high school and three (3) years of secretarial experience.
  • Requires ability to keyboard 55 words per minute.
  • Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Overtime is a condition of employment, and you may be required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.

Nice To Haves

  • Prefers at least two (2) years of experience performing office secretarial duties/responsibilities.
  • Prefers at least two (2) years of experience utilizing Microsoft Office Tools and/or similar type of computer software.
  • Prefers at least two (2) years experience preparing correspondence to staff, individuals in custody, and the public.
  • Prefers at least two (2) years of experience interpreting data and preparing reports.
  • Prefers at least two (2) years of experience preparing agendas, scheduling meetings, and taking minutes.
  • Prefers at least two (2) years of experience answering telephone calls that require complex screening, detailed message-taking, and sensitive information handling professionally and efficiently.
  • Prefers at least one (1) year of work experience in a correctional and/or similar type of work setting.

Responsibilities

  • Serves as Administrative Secretary to the Center Supervisor and Assistant Center Supervisor.
  • Serves as secretary, keyboarding legal documents, policies, procedures, reports, and other matters pertinent to program activities providing confidentiality of same.
  • Prepares narrative and statistical reports on weekly, monthly, quarterly, and annual basis.
  • Utilizes personal computer and mainframe equipment.
  • Inventories and orders office supplies and forms.
  • Informs Center Supervisor of employee and resident concerns and provides information to assist with resolutions.
  • Performs other duties as required or assigned which are reasonable within the scope of the duties enumerated above.
