About The Position

This is a fully remote Executive Personal Assistant role supporting senior leadership in a fast-growing US-based company. The role is primarily focused on personal life management, ensuring that the principals’ day-to-day lives run smoothly and efficiently outside of business operations. You will manage travel, personal logistics, social calendars, and lifestyle coordination while acting as a trusted partner who anticipates needs and executes with precision. This role is highly independent and requires strong judgment, taste, and initiative rather than task-based execution. The ideal candidate thrives in a fast-paced, high-trust environment and takes pride in improving the quality of life for others through thoughtful planning, organization, and proactive problem-solving.

Requirements

  • 3+ years of experience as a Personal Assistant, Executive Assistant, or similar role
  • Exceptional written and verbal English communication skills
  • Strong attention to detail and organizational abilities
  • Proven ability to exercise independent judgment and decision-making
  • Familiarity with US travel, hospitality, and lifestyle standards
  • High level of reliability, responsiveness, and follow-through
  • Ability to work in a fast-paced, high-accountability environment
  • Stable internet connection (minimum 50 Mbps) and dedicated workspace

Responsibilities

  • Manage personal logistics including appointments, memberships, billing, and subscriptions
  • Maintain and proactively manage personal calendars
  • Act as an accountability partner for routines and personal goals
  • Research and recommend products, services, and tools that improve daily life
  • Plan and book flights, hotels, and dining using optimal options (points, miles, or cash)
  • Create detailed and thoughtful travel itineraries
  • Coordinate schedules with partners and manage all travel logistics end-to-end
  • Handle last-minute changes efficiently with minimal disruption
  • Maintain a personal CRM for relationships with friends, family, and contacts
  • Coordinate and send thoughtful gifts for important occasions
  • Manage and organize social schedules and events
  • Plan meaningful gatherings and experiences
  • Conduct in-depth research across lifestyle, travel, and service categories
  • Provide structured, opinionated recommendations with clear reasoning
  • Support ad-hoc personal projects requiring initiative and creativity
  • Identify opportunities to automate repetitive tasks using technology
  • Manage inbound personal communications and prioritize responses
  • Draft correspondence, notes, and follow-ups
  • Coordinate with vendors and third parties to ensure execution
