About The Position

Our family is seeking a highly organized, resourceful, and discreet Executive Personal Assistant & Household Manager to oversee daily household operations and provide high-level personal support. This role requires both executive-level polish and a hands-on, service-minded approach to ensuring our home runs smoothly year-round. You will be responsible for coordinating complex schedules, managing vendors, supporting family logistics, and proactively maintaining household operations with professionalism, warmth, and exceptional attention to detail. The ideal candidate is a self-starter who anticipates needs, solves problems before they escalate, and executes tasks from start to finish with full ownership and confidentiality.

Requirements

  • Minimum 5 years of experience supporting a private family, executive household, or similar high-touch environment.
  • Valid driver’s license with a clean driving record; confident driving in urban settings.
  • Comfortable working around large, trained service dogs.
  • Exceptional organization, communication, and time management skills.
  • High level of discretion, trustworthiness, and professional judgment.
  • Legal authorization to work in the United States.
  • Ability to pass a comprehensive background check.
  • Demonstrated ability to troubleshoot household technical issues (basic plumbing, HVAC, structural diagnostics, etc.).
  • Proven track record of managing tasks and multi-step projects through full completion.

Nice To Haves

  • Experience managing household vendors and property maintenance projects.
  • Previous experience supporting private or family travel.
  • Familiarity with digital household management tools (e.g., shared calendars, task platforms).
  • Working knowledge of home systems or strong willingness to learn through hands-on training.
  • Experience in residential property management or facilities operations.

Responsibilities

  • Manage complex family calendars, including school schedules, appointments, events, and travel.
  • Drive and accompany children to and from school, extracurricular activities, and appointments.
  • Coordinate weekly grocery shopping and maintain organized household inventory systems.
  • Oversee light household organization and ensure a tidy, welcoming environment at all times.
  • Execute routine errands (returns, prescriptions, local pickups, etc.).
  • Assist with basic meal planning and occasional light meal preparation.
  • Oversee and manage household vendors (housekeeping, landscaping, pool services, etc.), ensuring quality standards and timely completion.
  • Lead maintenance oversight: identify issues, diagnose basic root causes (e.g., leaks, minor plumbing/HVAC issues), research solutions, and coordinate repairs or professional services.
  • Manage household projects from planning to completion, maintaining organized documentation of tasks, outcomes, and vendor performance.
  • Prepare and execute seasonal protocols (e.g., property freeze procedures, system checks) with training provided.
  • Support family travel logistics, including itineraries, packing coordination, and household preparation during travel periods.
  • Manage monthly preparation and coordination of international travel documents for a trained working service dog (training provided).
  • Provide responsible daily oversight of the service dog, including vet visits, care routines, and travel support.
  • Uphold strict confidentiality and demonstrate sound judgment in all matters.
  • Maintain a warm, attentive, and service-oriented presence while respecting personal boundaries and privacy.
