About The Position

For our department HR & General Administration we are seeking to appoint a Executive PA & Operations Assistant commencing immediately on a permanent basis. Are you ready to take on a dynamic role at the heart of our Stockholm office? We are looking for an Executive PA & Operations Assistant to provide high-level support to our CEO and play a key part in our Team Operations. As Executive PA & Operations Assistant, you will be central to creating structure, efficiency, and flow in both management and operational processes. You'll work closely with the CEO and Team Operations & Office Support, ensuring that strategic and operational activities are carried out smoothly and accurately.

Requirements

  • Strong project management skills and a structured, solution-oriented approach.
  • Excellent communicator in both Swedish and English.
  • Able to build and nurture relationships within and outside the organization.
  • Accurate, responsible, and committed to teamwork with a humble attitude.
  • Experienced with the M365 portfolio (PowerPoint, SharePoint, Teams, Outlook, Power Automate).
  • Interested in IT tools and digital efficiency.
  • Skilled at producing and managing professional, audience-adapted internal communications.

Responsibilities

  • Coordinate and book the CEO's meetings, travel, conferences, and events.
  • Prioritize and protect the CEO's time through efficient calendar management.
  • Prepare presentations, reports, and meeting materials.
  • Write, proofread, and ghostwrite communications in Swedish and English.
  • Lead and coordinate projects linked to the CEO's priorities.
  • Manage confidential information with integrity and discretion.
  • Be an active part of Team Operations & Office Support, fostering a positive collaborative climate.
  • Bridge the local finance department with the home office, supporting reporting and data sources.
  • Project manage office events and external activities (e.g., marketing days, breakfast meetings, cocktail events).
  • Plan and coordinate internal staff meetings and activities.
  • Manage Stockholm's internal communication platforms (SharePoint, Viva Engage, etc.).
  • Produce and quality-assure presentation materials according to company guidelines.
  • Collaborate with the global marketing team to localize communication materials.
  • Ensure compliance with marketing and communication policies.
  • Identify and drive improvements in internal workflows and digital tool usage (e.g., SharePoint, MS Teams, Power Automate).
  • Contribute to increasing Stockholm's visibility internally and externally.
