Requirements

  • Minimum of 5 years of experience in executive support, operations, or governance roles, preferably within non-profits, foundations, or complex organizational structures.
  • Strong project management and coordination skills, with the ability to lead cross-functional strategic initiatives.
  • Proven experience managing confidential information and exercising discretion at senior levels.
  • Exceptional written and verbal communication skills, including drafting agendas, pre-read materials, and executive-level documents.
  • Excellent stakeholder management and influence, with the ability to drive collaboration and accountability across leadership teams.
  • Superior organizational, logistical, and multitasking abilities, with attention to detail and accuracy in all deliverables.
  • Proactive problem-solving and innovative thinking, with the ability to anticipate operational challenges and develop scalable solutions.
  • Ability to work independently while fostering effective collaboration across teams.
  • High proficiency in English and strong interpersonal skills for internal and external engagement.

Responsibilities

  • Serve as the primary administrative and logistical liaison to the Board of Directors and its Committees, ensuring timely communication and effective engagement.
  • Manage the full lifecycle of Board activities, including committee coordination, agenda preparation, pre-read materials, minute-taking, and follow-up on action items.
  • Oversee operational and administrative processes to support executive priorities, including project management, workflow optimization, and process improvement initiatives.
  • Facilitate collaboration across senior leadership, ensuring alignment on strategic and operational projects.
  • Prepare materials, presentations, and communications for Board and executive-level meetings, ensuring clarity, accuracy, and professionalism.
  • Coordinate logistics for virtual and in-person meetings, including travel, vendors, and meeting space setup.
  • Maintain centralized organizational records, governance documents, and compliance-related materials.
  • Handle sensitive and confidential matters with discretion, integrity, and professionalism.
