About The Position

The Executive Operations Assistant will coordinate vital business functions and help create seamless experiences for our leadership team while working in a collaborative and ambiguous environment. As our Internal Executive Operations Assistant, you'll ensure smooth daily functions while contributing to team success through thoughtful organization and proactive support. Typical daily and weekly duties include CEO calendar management, coordinating internal events, and ensuring expense reports are submitted efficiently. You'll collaborate with various departments while maintaining organized documentation and providing direct personal support to the CEO on an adhoc basis. The ideal candidate is able to maintain a high level of organization and detail while pivoting between tasks quickly. This role is full-time onsite in Sacramento (in the office 5-days a week). The ideal candidate is a natural self-starter and is comfortable with accepting tasks from the CEO and his direct reports. The candidate will handle all tasks related to Executive Administration, while prioritizing the CEO’s requests.

Requirements

  • Must be 21+ years of age
  • Proficiency in G Suite and Microsoft Office applications
  • Ability to quickly understand complex information and context, and never shy asking questions
  • Excellent organization skills and proven self-starter.
  • High level attention to detail with ability to achieve accuracy and timeliness.
  • Exceptional interpersonal, collaborative, and high-level communication skills.
  • Flexibility to provide support during off-hours as needed in a truly international environment.

Responsibilities

  • Coordinate executive calendar management across multiple platforms (mainly Google Calendar), which requires cross collaboration with internal / external customers.
  • Support leadership team with meeting preparation, follow-up, and document organization.
  • Arrange business travel for the CEO as requested, following Connected policies.
  • Facilitate leadership team gatherings inclusive of accommodations, f&b, and cross functional agenda alignment.
  • Maintain and update meeting notes as required.
  • Interacts with Corporate teams regularly, assisting with onsite leadership team events.
  • Performs ad-hoc assignments that support CEO focused projects or personal assignments.
