About the Role: We’re looking for an Executive & Office Operations Admin to help keep our day-to-day operations running smoothly while serving as a trusted partner to our CEO. This role is a blend of organization, hospitality, and proactive coordination. You’ll play a key role in supporting the CEO’s day-to-day priorities including managing schedules, preparing for meetings, and ensuring nothing falls through the cracks, while also helping create a seamless and welcoming experience across our offices. You’ll be part of the HR team and work across all areas of the business, making this a highly visible and collaborative role. While we are open to candidates based in states where we operate, we will prioritize those located in or near the Orlando, Florida area. This position is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in the details that keep both people and operations running smoothly.

Requirements

  • High school diploma or equivalent required; associate’s or bachelor's degree preferred.
  • 5+ years of experience in executive support, office management, or a related role.
  • Exceptional organizational and time management skills, with strong attention to detail.
  • Proven ability to prioritize and operate effectively and autonomously in a fast-paced, deadline-driven environment.
  • Strong judgment and discretion, with the ability to handle confidential information.
  • Strong written and verbal communication skills, with the ability to communicate clearly and effectively.
  • A proactive, solutions-oriented mindset with the ability to anticipate needs.
  • Flexibility to support varying schedules as needed, including occasional early mornings, evenings, or weekends based on business needs.

Responsibilities

  • Provide dedicated administrative support to the CEO, including complex calendar management, meeting prioritization, and day-to-day coordination
  • Anticipate scheduling needs and proactively manage competing priorities, ensuring the CEO is prepared and optimized for each day
  • Coordinate travel, including detailed itineraries, accommodations, and logistics/
  • Serve as a trusted point of contact on behalf of the CEO for internal and external stakeholders, maintaining professionalism and discretion
  • Support day-to-day office operations across [office/store locations], ensuring work spaces are organized, stocked, and running smoothly
  • Coordinate vendor services, including maintenance, repairs, cleaning, and office supplies.
  • Manage office logistics such as mail, deliveries, visitor experience, and workspace setup.
  • Assist with planning and execution of team events, meetings, and internal gatherings.
  • Contribute to a positive and welcoming office environment, helping create a seamless employee and guest experience
  • Support executive leadership and office operations through a broad range of responsibilities, adapting to shifting priorities and taking on additional duties as needed
