About The Position

Executive Liaison, Corporate Technology Boston , MA - Full-Time/Hybrid The Opportunity Corporate Technology is seeking a highly self- motivated and experienced Executive Liaison. The successful candidate will deliver exceptional administrative and program/project related support to the Head of Corporate Technology. This role requires someone who thrive s in a fast-paced environment, is adept at managing complex administrative tasks , enjoys collaborative teamwork, and consistently handle s highly confidential and time sensitive information with discretion and prioritization. The Impact This is a multi-faceted role in which the Executive Liaison will take initiative and operate in an autonomous way, using a proactive approach to anticipate and fulfill the administrative needs of the Head of Corporate Technology and coordinate across the team of other assistants to deliver a consistent approach to operations. This role will be involved in coordinating, planning, reporting and communicating as well as managing and maintaining calendar activity, coordinating domestic and international travel, and responding to information requests. This will include coordinating meetings and conferences with both internal and external sources, compiling information from various sources for routine inquiries and reports, analyzing data and preparing regularly scheduled reports. The Executive Liaison will provide backup support to other administrative professionals as needed. Key responsibilities include but not limited to: Executive calendar and meeting management: Own complex calendar strategy; proactively prioritiz ing and safeguarding dedicated focus time . C oordinate scheduling across multiple time zones and proactively resolve conflicts efficiently. Prepare/ensure meeting agendas, pre-read material s, and desired outcomes are clearly established . Maintain a comprehensive understanding of the executive’s priorities to effectively make informed decisions and set appropriate priorities on their behalf. Executive communications: Draft, edit, and proofread executive communications ( e.g., email, memos, presentations, talking points , excel exhibits ) with strong attention to voice, tone, and accuracy. Proactively identify and execute on communication needs across the department . Stakeholder liaison: Act as a primary point of contact for internal/external partners . B uild effective relationships with Technology leadership, business partners, vendors, and executive assistants across the enterprise. Meeting readiness and follow-through: Coordinate recurring operating rhythms (staff meetings, leadership reviews, governance forums) . C apture action items as needed . T rack follow-ups and ensure closure. Business operations support: Assist with planning cycles and deliverables (e.g., priorities, KPIs /metrics, quarterly strategy reviews) . M aintain team distribution lists and org anizational materials . S upport onboarding/offboarding logistics . Provide program/project-related support . Travel and expense coordination: Arrange domestic and international travel . M anage itineraries and changes . P repare and submit expense reports . E nsure compliance with company policies. Coordinate budget items including invoice/vendor management for Corporate Technology teams. Events and offsites: Plan and execute executive meetings, conferences, leadership offsites, and team events (virtual and in-person), including venue/ logistics coordination, vendor management, and attendee communications. I nterface with the executive support team and/or the Event Planning Team, to coordinate schedules, reserve appropriate conference rooms, catering orders, prepare room and materials for meetings . Document and information management: Maintain organized digital filing and version control for executive materials . H andle sensitive information with discretion . A pply records and retention guidelines. Process improvement: Identify opportunities to streamline administrative processes and meeting cadences . L everage technology tools ( e. g., Microsoft 365) to improve efficiency and transparency. Professional representation: Represent the executive office with polish and professionalism . A nticipate needs , exercise sound judgment , and diplomacy in high-visibility interactions.

Requirements

  • High school diploma or equivalent
  • 7+ years of progressively responsible administrative experience , including direct support to senior executives
  • 4+ years’ experience working with Microsoft Office suite (Word, Excel, PowerPoint, etc.), Google Workspace, Zoom, and Slack

Nice To Haves

  • At least 2+ years' experience working in the Financial Services Industry .
  • Demonstrated ability to manage highly complex calendars and multi-stakeholder scheduling with shifting priorities.
  • Advanced proficiency with Microsoft 365 tools (Outlook, Teams, Word, PowerPoint, Excel, OneNote/SharePoint).
  • Exceptional written and verbal communication skills, including the ability to draft executive-ready content.
  • Strong organizational skills and attention to detail; ability to manage multiple workstreams with minimal oversight.
  • High degree of discretion, professionalism, and sound judgment when handling confidential information.
  • Ability to work effectively across organizational levels and influence without authority.
  • Experience working with in a collaborative environment with both internal and external partners to achieve results .
  • Proficient working knowledge of both Ariba and Concur system applications
  • Ability to leverage additional technology - Workday, ServiceNow, xMatters , and Archer .
  • Ability to complete a high volume of work and with limited direction and oversight .
  • Ability to navigate complex situations and organizations . I dentify and execute on resolutions .
  • Ability to dynamically prioritize and troubleshoot conflicts . A nticipates challenges and proactively addresses them .
  • High level of attention to detail and time management, with a strong understanding of the importance of being responsive and proactive in a deadline-driven environment
