About The Position

We are seeking a highly organized, proactive, and detail-oriented professional to support our leadership team and contribute to operational excellence across the organization. As an Executive Coordinator, you will be the central point of organization for our leadership team. You will manage schedules, coordinate cross-team activities, track key initiatives, and support operational workflows. This role is ideal for someone who thrives in a remote, international environment, enjoys process improvement, and takes initiative to ensure smooth day-to-day operations.

Requirements

  • 2–3 years of experience in administration, coordination, or executive support.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and remote collaboration tools (Teams, SharePoint).
  • Highly autonomous, reliable, and professional.
  • Excellent English communication (written and spoken).
  • Based in Lebanon with a stable remote work setup.

Nice To Haves

  • Experience in remote or international work environments.
  • Familiarity with multi-timezone coordination and stakeholder management.
  • Experience in process or workflow improvement.
  • Basic financial tracking or administrative support experience.

Responsibilities

  • Manage leadership calendars and schedule meetings (internal and external).
  • Prepare agendas, reports, documentation, and briefing notes.
  • Track action items and ensure timely follow-up.
  • Facilitate smooth internal communication for leadership.
  • Coordinate cross-team communication and updates.
  • Monitor deadlines, priorities, and ongoing activities.
  • Ensure smooth and timely completion of tasks by relevant teams.
  • Maintain structured filing systems and shared folders.
  • Ensure consistency, accuracy, and accessibility of internal documentation.
  • Optimize workflows related to documentation and task management.
  • Assist with budget tracking, expense reports, and basic financial documentation.
  • Support onboarding and internal operational processes.
  • Contribute to workflow improvements and internal projects.
