About The Position

The Executive Committee Support Coordinator for the Catawba Nation Executive Committee provides direct personal support to members of the Executive Committee. This position ensures that Executive Committee members are fully supported in fulfilling their official duties, including attendance at meetings, maintaining their schedules, files, briefings, and other related tasks. The Executive Committee Support Coordinator works closely under the supervision of the Chief of Staff to help maintain efficiency, organization, and professionalism within the Executive Committee’s operations. This position description is not an exhaustive listing of the expectations associated with the role and additional tasks may be assigned as needed by management. Changes to this document may only be made by a member of the Human Resources team. Catawba Indian Nation reserves the right to amend this job description. Requirements

  • High School degree required; Associate Level Degree or Higher is preferred in any field, but administration, human services, and data entry would be helpful for the position.
  • At least 2-3 Years’ experience in an office or administrative environment.
  • Must maintain driving license with ability to pass MVR.
  • Must possess a basic understanding of MS Office Applications and Windows 10 Operating System.
  • Ability to work flexible hours, including evenings or weekends, as needed.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to maintain strict confidentiality and demonstrate sound judgment.
  • Must have proficient ability to work in an electronic/paperless environment and understand how to navigate PDFS and related documents in a paperless environment.
  • Valid State Driver’s Licenses and Driving Record that will not disqualify them from inclusion on our company’s insurance policies and coverages with vendors.
  • Ability to maintain effective, professional, and courteous working relationships and demeanor with other employees and the public at all times, keeping confidentiality at the forefront.
  • Must have exceptional people/customer service skills and able to protect highly confidential information
  • Must be able to maintain professionalism when representing the Catawba Indian Nation
  • Must possess the ability to work in a fast-paced and rapidly changing environment

Nice To Haves

  • Experience in administrative support or similar roles preferred.
  • Familiarity with the Catawba Nation government structure and cultural values.
  • Work may include evenings, weekends, and travel as required by Executive Committee schedules.

Responsibilities

  • Coordinate and confirm Executive Committee members’ attendance at all official meetings, events, and functions.
  • Provide transportation for Executive Committee members as needed for official business, ensuring punctuality and professionalism.
  • Assist with calendar management, and reminders for meetings, appointments, and deadlines.
  • Work with other Executive Assistants to ensure proper communication regarding all needs.
  • Maintain confidentiality and discretion in handling sensitive or personal matters.
  • Perform errands and other duties as assigned to ensure the smooth operation of Executive Committee activities.
  • Assist in preparing meeting materials or documents when requested by the Chief of Staff.
  • Maintain records as directed by the Chief of Staff.
  • Uphold the values, integrity, and confidentiality of the Catawba Nation in all interactions.
