Job Title: Executive Assistant Reporting To: SVP, General Counsel Work Schedule: Hybrid – Buffalo, NY Moog’s Legal and Trade Compliance Team is looking for an Executive Assistant who would like to work in a fast-paced, exciting, and growing organization. In this role you will support Moog’s General Counsel, and her staff, in East Aurora, NY. In this role, you will provide great attention to detail, organizational skills, the ability to meet tight deadlines, and the skills to juggle multiple competing priorities and requests across internal and external stakeholders. You will exercise a high level of integrity, complete discretion in handling confidential and legally sensitive information, and the utmost professionalism in working with senior professionals inside and outside the group. Your flexibility and ability to change direction quickly are critical. Your excellent communication skills will be the key to success in this role!

Requirements

  • High school diploma, or GED. As associate’s degree in a related field is preferred.
  • At least five (5) years of experience in a similar administrative role, preferably in a law firm or in-house legal department.
  • Expert-level skills in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • The ability to work with web-based and desktop computer applications.
  • Stellar prioritization and organizational skills, with the ability to create action plans independently.
  • Must live local to the Buffalo, NY area to work onsite.

Responsibilities

  • Provide primary administrative support for the General Counsel, including the management of the executives’ calendars, proactively addressing scheduling conflicts, and the setup and management of appointments and meetings.
  • Supporting the General Counsel in aligning departmental goals with company objectives, developing and tracking strategic initiatives, and supporting data-driven decisions.
  • Manage legal technology such as e-discovery, and outside counsel matter management, including billing and fee arrangements.
  • Monitor legal budgets, track expenses, and manage financial reporting.
  • Prepare and edit reports, presentations, and other documents.
  • Make all travel arrangements, ensuring travel approvals and expense reports are completed in a timely manner.
  • Coordinate onsite logistics for meetings and events, including conference room booking, catering, and technology support. Quickly troubleshoot issues as they arise to minimize impact to meeting efficiency and experience.
  • Organize, execute, and assist with team activities, events, and off-site meetings (staff meeting agendas, all-hands meetings, off-sites, and team social events). This includes but is not limited to, working with external vendors to secure meeting space, event contracts, and ensuring all details are properly scheduled and managed for successful execution of events.
  • Organize and execute the General Counsel and legal leadership team’s communication initiatives, such as annual videos, updates, and other communication activities.
  • Work closely with the leadership team, recruiting, and other executive assistants to provide support to the organization and schedules.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Troubleshoot issues that require resolution through working with others across Moog, or external vendors, as requested by executives.
